  1. Data Clean-Up Process: Owner Party Number Match with Customer Number Project Sculpture April 25,2011

Introduction Summary This document is to be used to manually update the Party Number in the Install Base for every instance associated with the contract number to exactly match the Customer Number in Service Contracts System and Applications Required 1. Oracle EBS Views/Responsibilities: VM Service Contracts Manager US/IE 2. Install Base Report Workflow 1. Look up Oracle Contract Number in EBS to validate instances to be be updated do not link to ENTERED LINE or “QA Hold”. Contract status should only be active, signed, or  expired 2. Look up each instance one at a time in IB and REPLACE the value from “Customer Number” column (of spreadsheet) to Party Number field under Current Location and also under the “Owner page .

  3. Training • 1. Log in to Oracle EBS and launch • VM Service Contracts • 2. Validate the instances from the Contract • Number in the spreadsheet to be updated. • Status should not be ENTERED or “QA Hold”

  4. Look up each instance one at a time in IB and hit “Go”. Training • 3. Look up each instance number one at a time from the spreadsheet in Install Base and hit “Go”.

  5. Training • 4. Click on “All details” to ensure that • instance is not on any Active or Signed lines • other than the one you are changing • 5. If yes, please update it on spreadsheet • “in question”;  if not,  click on Description details

  6. Training • 6. Scroll down to “Current Location” section

  7. Training • 7. Replace the value from “Customer Number” • column (of spreadsheet) to Party Number field, • and hit Go button

  8. Training • 8. Type “%” in the “Address” or “Line 1” field, • press Go, and select the correct address • which is the same under “Ship to” section on Oracle • 9. Click the “Save” button.

  9. Training • 10. Once Saved, you will see “Confirmation” item • instance was updated successfully

  10. Training • 11. Navigate to the “Owner” page in IB, and update • the same value from “Customer Number” for • the Owner Party Number

  11. Training • 12. Once you update the Owner Party Number, • click the “Update” button • **Please note that you must do this for every instance associated with the contract number, even those that are "Subscription Fulfilled" or "VMEnriched" Instances**
