  1. CLICK G.Manager@corporate.com.au Harmony Dear Sir We are very pleased with the I-Call product – everyone is using it to very good effect – and enjoying it. I believe we should move on to the next stage now and install the full Harmony package – there is an even bigger productivity boost to be had. Harmony gives us a more powerful voice mail system with fax server – private faxes delivered directly to the desktop. We have the choice of integrating it with Outlook or use the web interface. My preference is the web interface – it gives you instant access to your messages from a new button on the application bar. When new voice or fax messages arrive the button turns to red - click it and your message management screen opens All your messages are set out clearly with the CLI of the caller displayed. To listen to a message you either click on the speaker icon to play it on speakers Or on the phone icon to play it on your phone. Your phone automatically goes off hook and plays the chosen message While your phone is off hook you can play other messages Now you can forward the message to another mailbox, delete it or enter a note and save it Its all very very convenient and fast! Click the arrow next to the Harmony button and click your choice Firstly there are four options that open the various Message / Mailbox management screens In the next four you can change from one greeting to another – you may have one set up for an in the office announcement and the other for an out of the office announcement The next two give you quick recording of greetings. Click the one you want – your phone goes off hook – the beep sounds – record the greeting – and hang up – simple and very fast – current greetings encourage callers to leave a message Then there are options to set and reset diversions on your phone And the special functions These allow you to transfer calls to different entities in voice mail. To Auto Attendants, Mailboxes, Interview Mailboxes or to a Schedule that will send the call on according to the time of day NEXT Next, I would like to tell you why I referred to the voice mail as powerful

G.Manager@corporate.com.au Harmony • Harmony Voice Mail – there are five things I love • No limits on anything – unlimited Mailboxes – Auto Attendants – Schedules – or on dial options we can offer our callers • The wonderful Supervised transfer. If your mailbox offers a caller the option to “press 1 for an associate” the last thing you want is for the call to end up in his or her mailbox – it just creates a poor image and frustrates callers. With Supervised Transfer the call is retrieved if the other phone is busy or does not answer, and plays another greeting offering further options. It sounds so polished. We have to have it. This schedule is set up with three Auto Attendants answering calls in three different time slots over the weekend. Each one offering relevant options. This AA is set up to create on dial options for mailbox 119. Press 1 to transfer to 135. if busy or unanswered the call is retrieved and presented with further options • Our choice of integration with Exchange / Outlook (again no limits on the number of users) and the wonderful web interface – we could even have both. • The Schedule tool – we can set up everything to happen 24 hours a day – 365 days a year. Auto Attendant or Mailbox greetings always suit the time of the call – so do the options. Effectively we will be open for business 24/7 • And we all like the fact that it can be administered from any PC – If you had Harmony there we could administer yours over the WAN • Add a huge range of “notification of message” options – call to a mobile – a pager – email notification – or to the web interface – and you have a complete solution NEXT

Being able to send faxes out directly from the PC is a time saver. In the Sales department we will set up five of the Harmony clients to monitor the department mailbox for both faxes and voice messages – this will solve a problem there. We get more flexibility in storing our conversation recordings. I can set up recordings from some staff to come straight to the mailbox I am monitoring giving me immediate access to them. And a lot of small things like that. But, in summary, we will easily cover the small cost per user with the time saved and the improved communications with callers.
