Crash Reports Submitted to a Specific Supervisor By entering a Supervisor’s TREDS Username (email address) in the ‘Supervising Officer Email Address’ in ReportBeam, the report will be sent to that specific supervisor for review/approval. An email notification will be sent to the Supervisor informing him/her that a report is waiting for review/approval.

  7. Crash Reports Submitted to the Department Queue By leaving the ‘Supervising Officer Email Address’ in ReportBeam blank, the report will be sent to the Department Queue for review/approval. Note: An email notification will not be sent to a Supervisor. Supervisors are responsible for checking the ‘Submitted Crash Reports by Department’ section periodically for reports awaiting review/approval.

Crash Reports Submitted to the Department Queue - View Any Supervisor in the Department can review/approve crash reports in the ‘Submitted Crash Reports by Department’ section ‘View’ Option: • Select this option to review the report only • Supervisor cannot Approve or Reject report using the ‘View’ option

  10. Crash Reports Submitted to the Department Queue - Process ‘Process’ Option: • Select this option to review and Approve or Reject the report • Crash Report will be assigned to the Supervisor when ‘process’ selected • After selecting ‘process’, only that supervisor can approve/reject report

  12. Rejecting Crash Report TREDS requires supervisors to enter a reason when rejecting the crash report. The reject reason is included in the notification email.

  14. Correcting Rejected Crash Report in TREDS A rejected crash report can be corrected in one of two ways: • Report Beam (recommended) • Create a Revised Report and submit to TREDS (discussed in Report Beam section) • TREDS Website • Go to ‘My Report Queue’ and click on Document Number link

  15. Rejected Report Corrections: TREDS Submitting Officer can make corrections in TREDS and resubmit the report back to Supervisor by clicking ‘Resubmit for Approval’

Multi-Level Approval Multi-Level Approval provides an additional level (2nd Level) of approval after Supervisor Approval How Multi-Level Approval works: • When Supervisor approves report, the report will be sent to all TREDS users who have Law Enforcement Clerk (LE Clerk) permissions • LE Clerks will either select the ‘View’ or ‘Process’ option • Crash Reports can be rejected (sent to submitting Officer) or approved (sent to DMV) How to request Multi-Level Approval: • Send email request to TREDS.SavesLives@DMV.Virginia.Gov including list of users who require LE Clerk permissions

TREDS Department Administrator All Departments are required to designate at least one Department Administrator Department Administrator has the following privileges: • Manage Users • Add new users in the department • Search for users in the department • Modify user account information • Disable user accounts • Unlock user accounts • Reset passwords • Post Department Message • Add/Edit the message in the ‘News from my Department’ section of the TREDS Home Page

  19. TREDS Department Administrator To designate additional Department Administrators, fill out the Department Admin Request Form in the Quick Links section and email to TREDS.SavesLives@DMV.Virginia.Gov

  20. TREDS Department Administrator: Add a New User Click on ‘Manage Users’ and then ‘Create User’ • Enter User information, select Primary Login Role and click Save

  21. TREDS Department Administrator: Other ‘Manage User’ Functions Click on ‘Manage Users’ to modify, disable, unlock or reset password

  26. Switch Role Function Users who have more than one role will need to switch between roles to access role specific functions To switch roles, users clicks on the ‘Switch Role’ link at the top of the page, make the selection and click ‘OK’

DUI and Click It or Ticket Campaign Data • DUI Campaign • Local Department users can enterDUI Campaign information and view their own agency DUI Report • Click It or Ticket • Local Department users can enter Click It or Ticket Pre-Survey, Post-Survey and Summons information in TREDS and can view their own agency CIOT Reports

  30. DUI and Click It or Ticket Campaign Data Entry To enter DUI or Click It or Ticket Campaign data, you may need to ‘Switch Role’ to see the available operations • Click the bubble next to the ‘role’ required, and click OK

  31. Click It or Ticket Campaign Data Entry When selecting ‘CIOT Data Entry Users’, you will see the operations available on the left side of the screen Click the ‘Manage Click It or Ticket’ link to access the data entry screen for the current Click It or Ticket Mobilization

  32. Click It or Ticket Campaign Data Entry The order of entering data for May Mobilization is enforced by the system. The data must be entered in the following order: • Pre‐Seat Belt Usage Survey • Post‐Seat Belt Usage Survey • Summons data Note: The order is not enforced for the November Mobilization since Pre- and Post-Survey are not required

  33. Click It or Ticket Campaign Data Entry First, select ‘Add Pre-Seat Belt Usage Survey’; complete all fields and click ‘Save’ After completing this form, enter the data for ‘Add Post-Seat Belt Usage Survey’ and then ‘Add Summons Data’

  34. DUI Campaign Data Entry When selecting ‘DUI Data Entry Users’, you will see the operations available on the left side of the screen Click the ‘DUI Enforcement Entry’ link to access the data entry screen for DUI Campaign data

  35. DUI Campaign Data Entry Select ‘Add Campaign’, and you will see the DUI Enforcement Entry screen; complete all fields and click ‘Save’
