Background – Higher Education Stats & Info •   Number Enrollment: • Public 4-year institutions: 629 institutions with 6,837,605 • Private 4-year institutions :1,845 institutions with 4,161,815 • Public 2-year institutions: 1,070 institutions with 6,184,229 • Private 2-year institutions : 596 institutions with 303,826 • TotalInstitutions: 4,140; Total Enrollment: 17,487,475 • Source - http://www.infoplease.com/ipa/A0908742.html • Richard Garrett: “Online higher ed clearly has moved from rhetoric to reality, from periphery to mainstream. If you look at people taking individual courses online, we now have 3.5 million at the last count, 20 percent of all students in U.S. higher education.   3. Background • Started as a need for a new email and calendaring solution • Used Oracle Portal and OCS (contains email & calendaring) • SUNY wide evaluation indicated Oracle Portal best. Study evaluated: • Oracle (ranked 1st) • uPortal (ranked 2nd) • Luminis (ranked 3rd) • SUNY Orange Email/Calendaring using Oracle Portal/OCS was out/right-sourced with CampusEAI (2006-2008) • Hosting entity (at that time) proved to be challenging in terms of: • Cost - $80,000/year • Reliability – had numerous technical issues and outages • Decided to evaluate alternative email/calendaring solutions

Email Evaluation • SUNY Orange evaluated the following email/calendaring solutions: • MS Live @ EDU • Google • Hosted MS Exchange • Novell • Mirapoint • Originally selected MS Live and conducted an internal pilot • Phase I Pilot – ITS Dept only – results were less than expected • Slow…slow..slow … IE browser emulating MS Outlook experience • Need to upgrade entire College to MS Office/Outlook 2007 – too time consuming and end users not willing to migrate in a quick fashion • Forced IE browser upgrades would break access to other ITS Services • Self-Service Banner • Angel • Decision was made to adopt Google Apps (next runner up)

Google Apps For Education – Migration Project • Phase I - Internal Google Apps Pilot with just ITS Dept (Summer 2008) • Phase II – Expanded Pilot beyond ITS Dept (Aug-Sept 2008) • Phase III – College Migration • College employees migrated by dept/building from Oct 2008 – Jan 2009 • Popped email from old email system into Google • Setup MS Outlook (2003) Accounts to point from old email to Google • NOTE: No retraining of users in this regard since majority of College employees are already MS Outlook users • College students migrated en-mass at the end of the Fall 2008 semester • Bulk upload/creation of student accounts mid-December • Newly registered students getting Google accounts via automated processes thereafter • College adjuncts migrated en-mass Jan. 2009 prior to the start of the spring semester • Notifications of this posted to College web site, and sent to old email accounts

Google Apps For Education Portal Considerations • SUNY Orange needs • Improved student communications • Move from paper based communications to electronic • Student Communications Work Group formed & established based policy and base requirements: • Policy Defined – all students required to use their College provided email accounts • Req. 1 - Be accessed via Single-Sign-On • Req. 2 - Users be initially logged into and presented with a web page that users cannot modify nor go around • Req. 3 - Users always be able to readily access email • Req. 4 - Be the only channel to access Self Service Banner • Req. 5 - Be the only channel to access Angel (CMS/LMS) • Req. 6 - Be able to access other Google Apps services (personal & shared calendars, documents, etc).

Advantages of Google Apps For Educations • Cost • No hardware to purchase AND support • No software to purchase AND support • Flexibility • Can be used as a portal in/of itself • Can be incorporated as part of another portal infrastructure (via APIs, gadgets) • Storage – 7.3+GB email pp; 5000 docs pp; 5000 images pp; 100GB shared • Value-add & Collaboration features • Docs – 5000 docs pp • Sites – 5000 images pp • Video – 10GB (more available) • Integration potential with other current and future Google products • Google Search (of course) • Google Scholar; Google Books • Google Wave; Google Voice • Google Chrome; Android Smartphone

Google Apps For Education Portal Future Direction • SUNY Orange IT Governance Committee • Establish Portal Work Group to address and define current and future portal needs/requirements • Future integration – Library Services; ODS/Reporting; Other • Continued working with SUNY Orange partners for on-going enhancements • Concensus – Novell – Single Sign On • IBM & MoodleRooms – CMS/LMS (Sakai + Moodle) integration & unified communications • SunGard – Banner integration

Google Apps For Education Future Position Higher Education Issues & Trends • Infrastructure – Cloud/grid computing – enable collaborations • Collaborations – among students, faculty and employees (ex. Web 2.0) – enables mobility • Mobility – learning/working from anywhere at anytime (global perspective) GAE Google Apps For Education is well positioned to meet these issues and trends Examples: - Google Apps CMS/LMS integration - provisioning w/ Docs collaborations • Google Apps, CMS/LMS, Orchid, Google Wave, COIL (“The Internet is the Operating System”)
