  1. HOW TO USE TO PRODUCE KSED MONTHLY ATTENDANCE

  2. You can use H.E.L.P. to complete KSED Monthly Attendance? • H.E.L.P. can produce the required KSED Monthly Attendance if you have entered your students in Client Intake. • Information added in Conference Summary Report fills in Date Enrolled and your disciplines’s Minutes/Week as well as Date Dropped and Reason Dropped

  3. Monthly Attendance Fields have been added to Conference Summary Report to denote number of Minutes/Week in each program Information ONLY prints on Monthly Attendance These fields do NOT print on Conference Summary Report Begin Date indicates either the date the student began your program or at Annual Review time the first day of school for the next school year.

  4. Important Information Continued • The Begin Date should be the first day that the student was enrolled in your program. When completing Annual Review paperwork the Begin Date will be the first day of the next school year (check your school calendar). • Report End Date only when the student is dropped or exits from your program. End date is NOT the last day of the school year. • If you report Date Dropped or End Date you must click in a Reason for Exit.

  5. Conference Summary Report End Date:Should only be filled in if the student is exiting from Special Education or changes Resident District. Date is NOT the last day of the school year. If student has an end date noted you must click in Reason(s) for Exit These dates and reasons appear on Monthly Attendance

  6. To complete your monthly attendance, print your attendance at the beginning of each month • Go to the Reports Menu • Select “List for Attendance” view & print • Keep the copy handy. You will need to write in the days absent as they occur for a each student during the indicated month

  7. Monthly Attendance • On the MAIN MENU, click on Reports. • On the Reports Menu, click on List for Attendance • Key in information: • List Classroom Aides and Individual Aides with name of student • Select Service – click and highlight the appropriate service • Click on Printer Icon and preview attendance

  8. Monthly Attendance Report • Sorts by Serving District in Client Intake • Information comes from both Client Intake and Conference Summary Report • Date Enrolled • End Date • Reason for Exit • Minutes per week as noted by service • If data is correct, Select File, Print. • Your monthly attendance will print. If data is incorrect or missing go Client Intake or Conference Summary Report and correct the data.

  9. Common Errors in Monthly Attendance • Common errors: • Grade/Level • In Client Intake, key in grade number (do not use 1st, 2nd, etc) • Use a / and add program, such as “2/LD” or “10/REI” or “3/CC/SL” • Resident District • It is VERY important to have the Resident District reported correctly • Date Started/Date Dropped • For Annual Reviews, the date started is the first day of the next school year. There is NO Date Dropped unless the student will no longer receive services

  10. Important Information • It is very important that you have the “Resident District” correct for your students. Verify resident district through your administrator • If you are beginning the referral process and all you will do is the Consent for Evaluation for a student, you could enter “referral process” in the field “Serving District”. This will alert KSED to the fact that this student is not in your caseload yet.

  11. More important information • If the student is enrolled in a Parochial School, put the name in the zload School/District. i.e. “All Saints Academy-Breese District 12”. It is important that you report this information correctly. • HELP sorts by Serving District. This will alert KSED that these students attend parochial school
