Return to Vendor (RTV) Process • New process in place • Requestors and buyers will be notified when an over-shipment was received • Automated email • Buyers will initiate the RTV process within 5 business days • This prevents receipt accrual from occurring • Lead - Tammy Thompson, Tim Montoya, Amy Mendoza, John Speros, Steve Kessler, Barbara Gomez, David Hathaway, Gavin Robillard

  5. Receipt Accrual Process • Testing completed in FMS 8.8 • Collaborative effort by Purchasing, Receiving and AP • Unable to use tolerances in FMS 8.8 • Established work around for FMS 8.8 • Over- shipments will be placed on hold pending resolution • Barbara Gomez, John Speros, Tammy Thompson, Lauretta Corsair, Michele Mock, and Lesta Nadel

Multi- year Liens • Business processes were reviewed • Objective is to lien the amount obligated by the subcontract • FMS systems functionality (Contracts) is being examined • Changes in the current process will need to be made • Lead- David Hathaway, John Speros, Sarah Eary, Bill Fortney, and Minh Huebner

  7. Purchase Order Recon and Close - out • An ongoing business process is needed to routinely close purchase orders and reverse liens • The process is being worked on with an estimated completion date of June 30, 2005 • Lead- John Speros, Lisa Rebrovich, Deanna Ashorobi, Dennis Styles, Michele Mock, and Barbara Gomez

  8. PO/PRP Conversion Issues • Approximately 11,000 purchase orders were closed • Approximately 250 converted purchase orders (prior to PRP) will exist after the upgrade • Buyers and resource analysts will review and monitor • Lead- Lauretta Corsair, John Speros, ISS
