  2. Immunization v8.2*1 Training Welcome to Immunization v8.2*1 training. Training for this application has been broken down into a series of self-paced modules for the user to complete at their own speed. This module teaches the user how to change Active and Inactive status and why this status is important

  3. OVERVIEW The RPMS Immunization Module provides the following: • A means to track and recall patients for immunizations. • Feedback to providers and administrators about immunization rates in their patient population. • A way to share immunization information with authorized agencies.

ACTIVE STATUS REGISTER STATUS IN IMM V8.2*1allows a local site to designate patients as ACTIVE, which then ... includes the patient in the 2 standard reports … - 3-27 month old Report (Old Quarterly Report) - 19-35 month old Report (Old Two Year Old Report) Conversely – giving a patient Inactive Status ONLY removes the patient from Standard Reports The following slides will guide you step-by-step to change the Register Status in the RPMS Immunization tracking module.

Only users with the Manager Menu security key will see the MGR option.

  8. Select A Patient Immunization v8.2*1 * VIEW PATIENT IMMUNIZATION DATA * Select Patient Name: DEMO,PATIENT Type the patient’s name or chart number at the “Select Patient Name:” prompt. If you enter a patient who has “INACTIVE” status in the Immunization tracking module, you will be asked if you want to change the status to “ACTIVE” add that patient to the Register. NOTE: While ALL patients get FORECASTING, REPORTS (3-27 and 19-35 month old) only use ACTIVE patients – not INACTIVE patients.

You may change the date for which you want to view the patient’s immunization data at the “Select Forecast Date:” prompt – you may go back to an earlier date or look into the future! 

To RE-ACTIVATE this patient, enter "@" (shift-2, no quotes), which will delete the Inactive Date. Type the date on which this child changed to “INACTIVE” status at the “Date:” prompt. Note the lower screen tells you To save you time and keystrokes, if you want Today’s date simply type “T”

Or if the patient is receiving treatment elsewhere, enter the name of the clinic or hospital (if known). New to Version 8.1 – it is important to provide some detail for the Inactive Reason – this both helps to ensure reasons are legitimate and helps us search and sort these patients later.

Should this patient's Status be changed to ACTIVE? Enter Yes or No: To go to another patient, type the patient’s name or chart number at the “Select Patient Name:” prompt. If you are finished entering immunization data, press ENTER to return to the Patient Menu. NOTICE: whenever you choose a patient LESS THAN 3 YEARS OLD who is “INACTIVE” – IMM will prompt you asking if the patient should be ACTIVE This ensures that patient who move away or goes elsewhere – BUT then return to your site do not get MISSED!

  19. ACTIVE vs INACTIVE STATUS Review When you change a patient to INACTIVE status – 3 bits of information are entered 1. Inactive Date 2. Inactive Reason 3. Moved or Treated Elsewhere “details”

  20. Test Questions #1Changing a patient to INACTIVE status removes vaccine forecasting for this patient. TRUE or FALSE

  21. Test Questions #2 When choosing to inactivate a patient, you may not enter a historical date. TRUE or FALSE

  22. Test Questions #3 From the date a patient is INACTIVE the patient disappears from the standard 3-27 and 19-35 month old reports. TRUE or FALSE

  23. Test Questions #4 Anytime you look at a child under 3 years old with INACTIVE status – IMM will ask “Do you want to change the patient’s status back to ACTIVE?” TRUE or FALSE

  24. Test Questions #5 You can look at a list of all the Inactive patients and the reason they are Inactive TRUE or FALSE

  25. Test Answers • False - Forecasting ALWAYS stays for ALL patients. • 2. False – You may enter ANY date – and OFTEN is common sense to use a date from the past. • 3. True – Inactive Status removes patients from the • REPORTS – as of the Inactive Date. • 4. True - IMM prompts you to change to ACTIVE status if you bring up an INACTIVE status patient. • 5. True – This is a very useful view of all the INACTIVE patients – to get a quick look at why children are inactive – 5 reasons.

ADDITIONAL PATIENT ENTRY OPTIONS A Add Immunization D Delete Visit P Patient Edit S Skin Test Add I ImmServe Profile C Contraindications E Edit Visit H Health Summary L Letter Print OPTIONS THAT WILL BE ADDRESSED IN FUTURE MODULES S – Basically same process as immunization entry E – If you make an error –select visit/vaccine – correct the error and save. D – If the entire visit was incorrect – you can delete the visit – BE CAREFUL! I – If the forecast is confusing to you – ImmServe Profile provides the detailed logic behind why a vaccine may or may not be due today. H – View a Health Summary (perhaps hard chart not available). P – Patient Edit allows you to change to “Inactive” status ** BE CAREFUL! ---- You must follow the MOGE guidelines! C – You may select from legitimate contraindications for a specific vaccine. L – After administering vaccines and updating IMM – you have the option to print an official immunization record/history to give to the patient or parent/guardian.
