  2. What has changed…. BEFORE NOW If the selected Major Group is Table-enabled ENLARGE ENLARGE • The PE (planning engineer) posts a “Request” on EIP. • EIP auto-generates the “Request Number”. • The “Request” is scrutinized by the central team at HQ. • The central team generates the Item Code. If the selected Major Group is not Table-enabled ENLARGE

FAQs • How to create an EIP-Work Order? • Click on Item Code Request under Work Orders Management / Master Modules and raise the Request. • Note that if the selected Major Group has a “Table” the “Save” button will remain inactive. You will need to come back to the Home page and use the Code Generation module. The Code Generator instantly provides the Item Code itself. • Click on Import Standard Item under Work Orders Management / Master Modules and pull the desired items to the Work Order. The process is self-explanatory. • How to create a CeMA-Work Order? • Carry out Steps 1 & 2 as applicable to creation of an EIP-Work Order. • Please note that the next version of CeMA will be available to you on 25/11/07. Till then, you will be unable to pull your items from EIP to your CeMA Work Order on your own. As a stop-gap solution, you are requested to reach ISD through Help Desk. ISD will provide you with solutions on a case-to-case basis.

FAQs • Where to mention the UoM? • You are supposed to mention the UoM, along with the Rate, after you have pulled the Item to the Work Order. • How to create an “Extra over…” Item? • Provision for creating “Extra over..” items has now been made. You will be able to use this feature after the next CeMA-release. • What will be the lead time for getting Item Codes against Requests made? • Generation of Item Codes will be done at the same pace as at present. We believe that you are happy with it. • However, we will be constrained to hold back a Request if we feel that it would have been more appropriate to use a Table-enabled Major Group.

  6. Why do we need the Code Generator ? • WO items contain useful information. Going by the volume of work which gets subcontracted, one can easily imagine the amount of information being generated by project sites day in and day out, and the number of Engineer-Hours being spent on this. • Unfortunately, all these years, we have been unable to make use of IT to decipher this huge database and to put it to productive use. The biggest bottleneck has been the complete lack of standardization. • To bring in the required level of standardization, the Code Generator makes use of a simple Table-approach. With this, it will now be possible to organize data in a meaningful manner right at the point of its generation. And all of this would happen without any separate human effort while projects would carry out the routine task of giving out work orders. • You would be happy to note that we will soon be launching multi-dimensional Queries on EIP which will be based on this database. Using these Queries you can perform simple tasks like finding subcontractors as well as more complex ones like analyzing patterns of subcontract-spend and subcontract-rates.

Select – • Module : Work Order Management • Section : Item Code Generation • Major Group : As desired * • * Note that choosing the right major group is not difficult as – • There are less than 100 major groups and this number will still reduce when all the Standard Tables get developed. • The names are self-explanatory. • When in doubt, the “Reports” query can be used. This query is easy to use and you may like to explore it yourself.

If the selected Major Group is Table-enabled • The PE coins a “standard description” by selecting a combination of parameters from the Table. • If he happens to be the first one to make this combination, EIP “generates” an Item Code instantaneously. • If this combination happens to exist (i.e., made by someone else earlier on), EIP fetches and “displays” the corresponding Item Code. • The PE then pulls all the Item Codes obtained by him through the above process to the Work Order. • While doing so, he has the option to improve upon a “standard description” by typing-in additional details (those which are not covered by the Table) in an input-box.

If selected Major Group is not Table-enabled • The PE types his item description in the input-box. • EIP generates a “Request Number”. • “Request” is scrutinized by the central team. • The central team generates the Item Code. • Note that this particular process will gradually get phased out as the remaining Major Groups would go on acquiring Tables one-by-one.
