This online library staff scheduling system was developed by Beth to streamline the scheduling process, improve efficiency, and enhance communication among employees. The system allows for easy input of hours, automated scheduling for different library programs, and ensures proper coverage at all times.

Technology project… • Created an online reference & circulation desk scheduling system
Prior system used… • Online schedule done by manager • Each employee would “clock in” • Challenges with hiring freeze and budget cutbacks (hours) • Manager asked for volunteer to improve system • Beth had recently completed online Excel class.
Motivation… • Manager-difficulty with payroll • Assistant Manager @ Urbana given job of Manager at Emmitsburg Public Library so needed flexibility of scheduling staff • Previous tool cumbersome
Schedule Structure… • 4 week rotation (week is Saturday through Friday) • Bi-weekly payroll schedule
Reference Schedule… • Each employee enters hours • Beth manually puts in the library programs and does the Sat/Sun schedule • Asst Manager does Mon-Fri schedule • 2nd Mon each month schedule is locked
LIC Schedule… • Librarian In Charge: keys/alarm code/need for police • Beth does LIC schedule 4 days out
Circulation Schedule… • Circulation Supervisor does circulation desk schedule for the month • When someone is “off-desk” she is still available to be “on-desk”.
Problems encountered… • Need for individual training • The idea of change
Results… • Positive feedback from employees: ease and color coding • Suggestion for larger font implemented • Manager’s appreciation of new system during payroll and while scheduling off campus • Printouts posted in binders at desks and in two offices
