  46. Simple file management strategy for all? • Structured file naming and storage • A strategy that enables: • File naming and storage policy per business activity. • Best practices for electronic filing and retrieval throughout the organization. It works because it is based on the simple premise that if you name it properly and store it properly as per a prescribed policy, you and everyone else will be able to retrieve it.

  47. Others using this strategy

  48. What is structured file naming? • Structured file naming is the combining of multiple information elements separated by delimiters (e.g. underscore “_”) to compose a unique information-rich file name. • Examples: • GGBRIDGE_PAINT_QUO_RAILINGS_V01.pdf • GGBRIDGE_WELD_SPEC_RIVETS- 500_V1-02.dwg

  49. What structured file names look like:

  50. Structured file naming – 10 Rules • Use short and simple folder names and folder structures. • Put just the right amount of elements in the structure for easy retrieval and identification. • Use the underscore (_) as element delimiter. • Use the hyphen (-) to delimit words within an element or capitalize the first letter of each word. • Elements should be ordered from general to specific detail of importance as much as possible.
