  1. Florida HIV/AIDS Community Planning Group NOTE TO PARTNERSHIPS: Partnership nomination procedures and bylaws must be in accordance with this timeline. NOMINATION PROCESS From Nomination  to Member-Elect  to Member Timeline October Local Community Planning Partnerships should begin and complete their local nomination process for new members, when applicable. Nominations November Obtained By the last week in November the Community Planning Partnership chairperson should mail a nomination letter and all membership forms to the Community Planning Coordinator for review by the Nominations and Membership Committee. December All nomination letters and all membership forms are due by December 1 to be reviewed, then submitted to the Secretary for the Department of Health for approval. All first term nominees receive the title of “member elect.” Period January Transition All members-elect participate in a orientation conference call with the Community Planning Coordinator. All members-elect begin to receive FCPG mailouts and begin to participate in monthly committee conference calls. February prior Members-elect attend orientation. Day All current members and members-elect should be in attendance at the February meeting. Day 1 Meeting “Current” members (members whose terms are not ending, plus outgoing members) retain voting privileges and complete old business. Meeting Day 2 Members-elect become full members, obtain voting privileges and outgoing members step down.
