  3. Navigation My Community My Academics My Services My Future Benefits of an Institutional Portal Theoretical Justifications Best Practices Planning & Implementation Team References My Community Purpose To provide students with a communication tool that will offer them opportunities to connect with their community, explore their identity, and learn about other students’ experiences. This portal will provide a medium for club involvement and activity, service learning, and student expression. All staff and faculty will have the same portal access and will be encouraged to participate in the portal community. Proposed Content The following describes available links from within the My Community Link. Students may be accustomed to logging into secure areas from one source, therefore we should maintain multiple secure login zones. For example, if you enter My Registration from the My Services link, you enter the same secure area you would enter from the My Personal Profile link. The difference is that the navigation takes you directly to the registration section or directly to the personal profile information depending on the link of origin. Once a student is done registering they may browse the secure area and utilize any other secure services. Once they leave the secure area they are immediately logged out; lack of activity will prompt a computer generated log out. Note: The community access section will be monitored by a selected committee of staff, faculty, and students. They will have access to all community information including exclusive groups. In the event of grievance they will be responsible for assessing the material and recommending judiciary review. The initial group may me 9 (three of each) but should be altered if circumstances require it.

Navigation My Community My Academics My Services My Future Benefits of an Institutional Portal Theoretical Justifications Best Practices Planning & Implementation Team References • My Journal • To provide students a safe, internet accessible cache for their most intimate thoughts. • My Journal is a secure folder. • The folder can be copied from the secure area onto the student’s hard drive or personal disk, but can only be opened with the student’s portal login information. • Journal folders placed on home computers will automatically update information when students log in to the secure area including password changes and stored data. • No folder can be deleted from the secure area without the student’s permission. • Students are encouraged to use this personal information to keep thoughts, experiences, and ideas. Students may want to use it to secure scientific data, creative writing, or musical tablature. • The journal folder is intended to be used for long periods of time and is meant to be easily transferred from one technological medium to another as technology advances, therefore only text based content can be saved. Students may not save digital imagery, music files, or video files. 11. Navigation My Community My Academics My Services My Future Benefits of an Institutional Portal Theoretical Justifications Best Practices Planning & Implementation Team References • My Public Community • This section is designed as a forum for student interaction. • Students build friendships and community by creating forums on the my community section. Clubs, service learning groups, individual students, and anyone who has access to the portal can begin any community they wish through the portal site. • The community groups are much like yahoo groups. Students must fill out a simple online form or “community request” to IT services. Once a request is made, the student who created the forum becomes monitor. • Students may give monitor capability to others by contacting IT. • Any student may submit a content review request anonymously if they feel there is discretionary material within the portal community. • Communities can have both open and exclusive membership policies. • A public community calendar is accessible showing all non-exclusive community activity, such as public salons, game nights, and group fundraisers. My Community Public Information Links This information is available to anyone who has access to portal functions (if you are a student, staff member, or faculty member and you have a portal login) My Public Profile My Public Community My Chat Private Information Links

  12. Navigation My Community My Academics My Services My Future Benefits of an Institutional Portal Theoretical Justifications Best Practices Planning & Implementation Team References • My Chat • A monitored chat room capable of multiple topic forums. • Students may create forum topics such as an engineering student room. • The on-line chat room could be used for a faculty sponsored salon. • Faculty and staff could create chats to facilitate quick meetings and to conduct business. • Invitational chats could be created with a simple request form. The requesting party would be designated domain control of a chat room for a designated time period. No one would be allowed to access the secure chat during the allotted time. The chat would automatically close at the designated expiration time. • Notable public figures could be invited to monitored salon chats with students. This would allow students unparalleled access to the influential members of the world community. • Public meetings (such as student government meetings or open board of regents meetings) could be streamed to the chat site. Students could watch the meetings in real time as they occur. 38. Navigation My Community My Academics My Services My Future Benefits of an Institutional Portal Theoretical Justifications Best Practices Planning & Implementation Team References Benefits of Creating an Institutional Portal • A proliferation of university web sites makes it difficult for students and faculty members to locate the information they need (Olsen, 2002). With an institutional portal, a student can conduct multiple transactions with the university in one sitting and receive customized information about university services and special events. • Posting campus wide alerts eliminates the need for mass e-mail messages that currently clog student and staff in-boxes and keeps all of us from getting to other important projects. • The time to begin creating a portal is here! In a 2002 survey by Edu-cause, institutional portals ranked fourth among the top-10 technology issues that college administrators expect to gain importance in the following twelve months (as cited in Olsen, 2002). • Institutions using a portal system have begun to see an increase in their retention of students in the first year (Olsen, 2002). • Creating a portal exposes hidden information problems. • Institutional portals increase student satisfaction on measure of institutional effectiveness, increase student access to student support services and increase operational efficiency (Harr, 2002).

  39. Navigation My Community My Academics My Services My Future Benefits of an Institutional Portal Theoretical Justifications Best Practices Planning & Implementation Team References Theoretical Justifications for an Institutional Portal • Vincent Tinto’s Theory of Attrition (1975)- Tinto suggests that there are key factors that influence student success. While some of these factors are outside the circle of institutional influence, university can positively or negatively influence other factors by its policies, procedures and system design. An institutional portal influences student success by providing students with the capability to articulate and clarify academic, career and personal goals (Goal Commitment); connecting students to the academic and social fabric of the university (Institutional Commitment); facilitating the process by which students make meaningful connections with peers and faculty members and provide students with the resources needed to successfully meet the academic rigors of the university (Academic Integration); and increasing the sense of community among students, alumni, faculty and staff (Social Integration). • Chickering and Reisser’s Seven Vectors of Identity Development (1993)- The institutional portal addresses elements of social and intellectual aspects of well-being. The design of the institutional portal allows students at all developmental levels to develop competence and engage in satisfying interpersonal relationships. • Sanford’s Challenge and Support(1966)- For students to grow, they must be presented with challenges balanced by support. The institutional portal allows for individual variations in student support as they confront the challenges of entering the university, becoming a more autonomous being, integrating themselves into the community and exiting the university.
