  3. Outsourcing is Easy Outsourcing a project to an assistant or team is supposed to free up your time. But without a little prep work, you’ll be frustrated with how much extra work gets created for you.

  4. Avoid Outsourcing Stress Set clear guidelines for the project and avoid playing email ping-pong for hours or days with your assistant.

  5. No Stress Checklist Set a Deadline • Don’t let your assistant determine the deadline based on when she can get it done. • Then you’re no longer in control of your own schedule.

  6. No Stress Checklist Set a Deadline • If your assistant has an issue with the due date, she’ll let you know. • Adjust the deadline or assign to another team member.

  7. No Stress Checklist Set a Deadline • With a mutually agreeable deadline, the need for constant checking in is practically non-existent!

  8. No Stress Checklist Provide Clear + Detailed Instructions • New assistants and veteran team members will need detailed instructions. • If your assistant works with multiple clients, provide her with documentation she can refer to every time she starts working on your projects.

  9. No Stress Checklist Provide Clear + Detailed Instructions • Save yourself time + work with these documentation materials I created on a wide variety of business + marketing projects that you can use with your assistant: https://timefreedombusiness.com/academy/

  10. No Stress Checklist Provide Required Logins + Account Info • Set up user accounts for everything your assistant will need access to then provide her with the information. • User accounts allow you to pick and choose the level of access you want to provide.

  11. No Stress Checklist Provide Required Logins + Account Info • For example, if you want your assistant to be able to process refunds for you, you can create a user account in PayPal and give her permission to only process refunds – that means she will not be able to see your account balance, send money, etc.

  12. No Stress Checklist Provide Required Logins + Account Info • Most shopping carts and autoresponder providers will allow you to set up user accounts for your team members. • The same is true of the other tools + services you may use, like WordPress and PayPal.

  13. No Stress Checklist Ask for Communication • Your assistant is not the CEO of your business, you are. • YOU have to lead her. She’s not a mind reader. • She doesn’t know how you like things to be done unless you tell her.

  14. No Stress Checklist Ask for Communication • Part of being a leader is ASKING for what you need! • If you need her to confirm that she has seen a project, ask her to confirm. • Never work on assumptions when you have deadlines to meet.

  15. No Stress Checklist Set the Check-in Date • A way for you to stay on top of things without coming across as a control freak. • Check in halfway to deadline and ask how things are going.

  16. No Stress Checklist Set the Check-in Date • Your assistant knows that you’re paying attention. • You can resolve issues and make changes before your deadline.

  17. No Stress Checklist Set the Check-in Date • Helps you maintain a stress-free business. • Keeps things running smoothly. • Avoids unexpected surprises on deadline day.

  18. No Stress Checklist Project Complete • Do an immediate assessment. • Check that you received all the required documents, make sure you can open them, do a run through of any web pages or content to make sure there are no glaring errors, etc.

  19. No Stress Checklist Project Complete • If a document is missing, ask your assistant right away to send that to you, rather than tracking her down later for it (especially if she forgot to do it, which can delay your project).

  20. No Stress Checklist Ask for Feedback • Your assistant isn’t likely to volunteer any info about the project or task that she just worked on, so you’ll have to ask her. • Giving your assistant permission to share her honest feedback can be invaluable to your business – so ask, listen, and keep an open mind.

  21. No Stress Checklist Project Assessment + Updates • Take the time to do an assessment of how of things went. • An assessment will help you spot any time or money leaks. • Update your documentation for the next time you want to assign your project.

  22. Based on 10+ Years Experience • I’ve been outsourcing for 10+ years and learned a lot of lessons the hard way. • Keep this list on hand for the next time you outsource a project and make sure you don’t miss anything.
