  2. Today’s Webinar • This is an overview of the process for the sustainability planning project. It is meant to determine if this is a good fit for your program • Commitment • Five Modules In Planning Process • Elements of Sustainability • Defined by The Finance Project • Structure for Sustainability Planning • Planning to Plan

  3. Purpose of Sustainability Planning • Clarifies where you are and where you’re going • Demonstrates the value of your work • Secures resources and new partners for your cause • Positions you for long-term success and planning

  4. What’s the Commitment? • Core sustainability planning group (7-10 people) meet 3 – 6 hours per month for 8months. • Staff person as Project Site Leader Prepare and following up on meetings. 1 day per month for 8 months • Arranging monthly check-up meetings (by phone or in person) • Communicating to stakeholders in between meetings • Working with PSAYDN VISTA staff to develop agendas • Collecting data and compiling information • Two awareness events

  7. Module I: Building a Sustainable Initiative • Complete Self Assessment • How do we rate with the Eight Elements of Success? • Provides foundation for Planning Efforts • Who will be involved?

  8. Module I Element I: Vision What Does Success Look Like? • Understandable • What is your mission? • How are you fulfilling this mission? • Compelling • Encourages outside support

  9. Module I Element Two: Results Orientation • Clearly define results • Identify measurement towards results • Make adjustments and course corrections

  10. Module II: Developing Vision and Results • What programs/activities do we want to include in the plan? • What does success look like? • How do you measure progress? • Can we develop a logic model that explains our work?

  11. Module II Element Three: Strategic Financing Orientation • “Financing for what” • Estimate fiscal needs • Identify current resources • Assess funding gaps • Identify funding sources and financing strategies

  12. Module III: Creating the Strategic Financing Plan • What will it cost to run these initiatives over the next three fiscal years? • What resources do we have legal commitment for in the next three years? • What resources do we still need?

  13. Module III Element Four: Broad-Based Community Support • Identify stakeholders whose support is critical • Decide vehicle to involve stakeholders • Develop and implement outreach efforts

  14. Module III Element Five: Key Champions • Leaders from: • Business • Faith-based institutions • Government • Vital force to generate: • Public will • Increased resources • Influence government decision makers • Target those with interest in initiative

  15. Module IV: Building Organizational Capacity and Community Support • Can we implement the strategies? • What are the external and internal considerations ? • What type of external expertise do we need in order to be successful? • Who are the key champions we need to bring on board?

  16. Module IV Element Six: Adaptability to Changing Conditions • Anticipate, influence, respond • Be aware of current research and data • Use research

  17. Module IV Element Seven: Strong Internal Systems • Fiscal systems • Human resource systems • Information systems • Communication systems

  18. Module V: Developing and Writing the Plan • Who is writing our plan? • How will we review the written plan? • What are our tasks and who is responsible? • What are our timeframes and milestones?

  19. Module V Element Eight: Sustainability Plan • Demonstrates effort, knowledge of where and how to reach goals • Provides confirmation of agreement • Useful in marketing vision • Guide for ongoing management

  20. What’s It All About? • Clarify vision/mission • Decide what to sustain Outcomes/end results • Identify the strategies used • Cultivate broad community support • Pursue a variety of funding options • Write a Plan!!!

  21. Is it a good fit? What’s First? Determine your readiness to participate • Do you have an established organizational structure for your initiative? • Are you implementing strategies and activities? • Do you have initiative leaders and staff who can devote time to the process?

Schedules and Assistance • Eight months training • First meeting is Planning to (conference call or in person) • Two One-Day Trainings • Group work in the modules • First training: October 25th • Second training: January 24th and 31st • Two Video or Phone Conferences • Ongoing Technical Assistance from VISTA

Planning to Plan Held in before first training on October 25th Goal • develop a realistic work plan for sustainability planning process • Define scope of plan • Identify activities local leaders will most likely support • Ascertain who needs to be involved in process • Decide how input from all stakeholders will be structured • Collect needed information • Write out timeline/work plan

  25. Takeaways for Today.. • Think about the importance of sustainable financial planning • Understand the time and resource commitment needed to do it well • Decide whether this process can help you • Have tools to decide if you’re ready to invest in the process
