  1. Tipsfor Successful DebtRecovery

  2. Debt collections occur in almost every operating enterprise. They're just a part of the company landscape. In the current tough economy, customers may be having more trouble than normal paying their debts. When invoices are not getting paid, it may be time to hire a commercial collection agency to get these debts paid. As in every industry, there are good ways and bad ways to do debt collections. Here are some ways to raise your success.

  3. BePrepared Prior to making the first contact with a delinquent client, make sure you know everything you can about your customer. Make copies of all invoices, contracts, and any other info which can allow you to speak knowledgeably, professionally and personally with all the client.

  4. DocumentEverything While talking to the client about the outstanding debt, then take careful notes about everything that was discussed, including the client's comments in case there's a future debt dispute. If your business has tracking applications, enter everything into the system while the conversation is fresh in your mind. As time passes, continue to include any additional details to your document to maintain it as up-to-date as possible.

  5. Don’tAssumeAnything When creating your initial debt collection call, fast make sure the debt has actually not been paid. Do not repaint the customer. Remember there could be potential future business with the client. The debt in question might be a mistake rather than a collection problem at all. Be cautious with your tone and your words now. Wait and listen to exactly what the customer has to say, and be sure to record the interaction carefully and correctly.

  6. BePleasantandControlYourself The tone you choose with your voice can affect how powerful the conversation will be. Should you start off the conversation with a friendly, non-confrontational tone, then the client may respond more favorably. When you've verified that you're speaking to the correct person about the outstanding bill, ask if you can do anything to help. If you act as if you care or can understand the debtor's side of the story, you may be able to avoid the individual from becoming defensive. However, stay detached from the situation. Your job in debt collections ultimately is to collect the debt in full as soon as possible.

  7. AvoidConfrontation andManipulation Attempt to find out if the debtor's excuse for not paying is legitimate. As an instance, if the individual blames the non-payment on somebody else, confirm that this is true or false by calling another person. Listen carefully to what the individual is telling you, and get a feeling of whether the person is being honest with you. Often, your gut feeling will be appropriate.

  8. PutaStoptoAnger orHarassment Always try to keep calm even when the debtor gets violent throughout the contact. Should this happen, you might suggest calling back later. Regardless of what, always listen attentively to what the customer tells you and attempt to maintain the dialogue constructive as far as you can. It is important to allow the debtor feel he is making progress.

  9. GiveOptions If a client is having difficulty paying off debt, then it might be possible for him to make payments over time. Try to work out a plan that will function for both the client and your client. The target is to get the client to pay the entire debt as quickly as possible. Listen carefully and offer options until something workable is defined.

  10. RecapTheTerms Once a payment plan has been agreed to, verbally summarize the plan for the debtor. This summary should include specifics of when the debtor will send each payment, and what form of payment will be used. Then document it in writing via email, fax or letter. Ask the debtor to call or email you once a payment has been sent.

  11. KeepCommunicating Even if the debtor can’t pay right away, it is always important to keep communications going. He may be able to pay in the future, and by talking to the debtor and really listening to what he has to say, you may be able to help him figure out a way to start paying sooner. While the older a debt becomes, the harder it is to collect, sometimes circumstances change and payment may become possible.

  12. Debt collections are common, especially in difficult economic times. Using these collection techniques should increase your odds of success. But, if all this effort doesn’t result in getting paid, you may want to use the services of a reputable collection agency.
