  1. Temporary Staff & Student Timesheets

  2. Timesheets are usually due on the same date as payday. Refer to the schedule of due dates, paying close attention to the dates in December. Check email daily for reminders or for questions we may have about your timesheet. Blank forms are also attached to the reminders. • Repeated delays in submitting timesheets could result in disciplinary action. • Always use ink or enter the information on the timesheet on a computer, print and sign. Never use pencil. • If corrections are made, employee and supervisor must initial the corrections. • Keep track of your hours daily and record the number of hours you work on your timesheet. We can only record in .25 hour increments. • .25 = 15 minutes • .50 = 30 minutes • .75 = 45 minutes • Always enter the payperiod begin and end dates in the appropriate spaces at the top of the timesheet. This is the only way we can correctly identify which payperiod it is for. • Name, Employee ID and Position numbers are required to be entered at the top of the timesheet in the appropriate spaces. • It is the responsibility for both employee and supervisor to verify that everything is accurate on the timesheet before submitting to payroll. • Supervisors should submit the timesheets to us after they sign; however, employees are welcome to email payroll Pamela.Hamm@kctcs.edu or ccarman0007@kctcs.edu as soon as it reaches their supervisor’s office so that payroll can follow up with supervisor if the timesheets have not been received by payroll.

Earn Codes • WKS this code is used if you are in the Federal Workstudy Program and job placement was set up by the Financial Aid office • RTW this code is use if you are working with the Ready to Work program and job placement was set up by the Ready to Work Office • STU this code is used if you are temporary staff and are also taking classes at ECTC but are not being paid from funds through Workstudy or Ready to Work grants. • REG this code is used if you are a temporary staff and are not taking classes.
