6. The different CyberAgent modules • Agent Manager–Assists you to manage your Agents more efficiently and also enables you to introduce these Agents to the Internet users visiting your website • 2. Contact Manager– Gives you the option to build up a database of clients, allows you to manage clients and link buyers and sellers easily and quickly • 3. Property Manager – Enables you to manage your property, assists you to list • your property on the Internet and allows you to build up your own canvassing database as property gets sold • Search & Reporting –Assists in searches and reports • 4. “CyberAgent MLN” - Enables two or more agencies, in agreement, to share property listings as well as the recoding of Property24 fields necessary for sharing on the Property24 website

Agent Manager • The “Agent Manager” enables you to add all the information of the agents working • for you and will link them automatically throughout the CyberAgent programme • Your team will be advertised on the relevant websites including your own website All the info you have captured on this form will be displayed on the website accept for • percentage values or if you have clicked the “do not update agent” button!

Contact Manager (1) • The “Contact Manager” helps you to keep a database of all the clients you are • currently dealing with as well of those who has already bought or sold properties • from you • This function links up potential buyers with available properties on the “Property • Manager” module • The “Contact Manager” can filter on specific groups of clients for example: • date of birth, allowing you to send SMS messages via CyberAgent at a nominal fee • The “Buyers Requirements” tab enables you to add all the requirements to a • property that buyers are looking for. After entering all the necessary fields and • options simply click on the “Search” button and the programme will search for • qualifying properties in the “Property Manager”

Contact Manager (2) • Address Information • Here you capture the physical and postal address of your clients • Family Information • Keep records of the clients birthday and those of his relations, his wife and children. The clients birthday will be entered automatically from the ID provided on the main window • Property Interest Page Tab • This section displays property linked to the client where the client is a seller. It also displays properties viewed in the case of a buyer • Referral Information Keeps a record if the client was referred and information on who the referral is • Filter Contacts • Allows you to filter on the clients you want to work with. Once you filter on a criteria you will be able to work with only the results you filtered on. You can now SMS the clients in the search results and print reports

Property Manager (1) The “Property Manager” provides you with a very extensive and detailed list of criteria which you can capture for your property listings and gives you the control to decide how you would want these properties to be displayed on the Internet The “Property Manager” module is linked to various of the other modules and contains important information fields • Specifics - allows you enter more detail for example fields like kitchen, roof type, garden, windows, size and tenant info • Sectional Title detail – includes the name of the complex, body corporate, rental, levies etc. • Notes – allows for EXTRA notes for example, the bond amount, vicinities, nearby schools, private notes and selling reasons for your own use on reports • Home office - includes fields specific to home offices • Commercial - includes fields specific to commercial

14. Property Manager (2) • CyberAgent MLN - enables two or more agencies, in agreement, to share property listings. This section also includes fields specific to Property24 • Features - adds additionalfeatures to the current property for example the style of the property • On Show – records the dates current properties will be on show, updates to the Internet and makes it possible for users to view properties on show • Pictures – allows you to add as many pictures to properties as wish • Filters – enables you to filter/search on numerous fields for ex. suburb, property type, street number, etc. • Update all active property to the Web - updates all property marked as ‘For Sale”, “To Let” or “Both” to the website. If the “Not on Internet” checkbox is ticked the specific property will not be updated

Search Facility & Reporting (1) • This module enables you to perform searches on properties and is nearly a duplication of the “Filters” form within the “Property Manager” • A wide range of search options are available to search on, starting with the location of a property right through to specifics • The grid at the bottom of the form displays the result of the search. To view a specific property click on the property in the grid and then click on “Goto Property”. This will activate the “Property Manager” and display the selected property • The “Grid Setup” page tab provides you with the functionality to create different grid layouts. Grid layouts enables you to select the fields you would want to be displayed within the grid at the bottom of the form

18. MLN – Multi Listing Network • “CyberAgent Multi Listings” provides the opportunity for two or more agencies, in agreement, to share property listings • It enables you print open hour property listings as well as history changes on shared stock

Property24 (1) • The Property24 module allows you to upload and download properties to and from the Property24 website and was designed on request from our “CyberAgent” users • This module will save valuable time and cut down on double capturing for agencies belonging to “CyberAgent” and Property24 • All changes are automatically recorded in the property history • Only Property24 registered users can make use of this function • Please note that this module has been developed without the support of Property24

21. Canvass Manager (1) • “Canvass Manager” provides the facility to import data from already registered • sources. You must be a registered to the various sources involved before you can • use this module • “CyberAgent” provides the import facility for the following: • SAPTG - South African Property Transfer Guide providing • information of the transfer between the new and • previous owners • CyberTrade - A Telkom System which provides you with telephone • numbers of the properties that are registered with • Telkom • Deeds Data Import - Provides you with the Erf & ID number of the current • owner • Property 24 Deeds Import - Provides you with all relevant info except telephone • numbers • This module was developed to be populated with data from the various import sources. Existing data will be updated with changes that may have occurred

Canvass Manager (2) • Imported data is divided into two section namely property and owner data and can be linked with the “Property and Contact Manager” modules Other features of the “Canvass Manager” includes: • the filtering of property and owner data • multiple reports • data export to MS Word for Mail Merge functionality • birthday filtering on month and day • bulk SMS messaging • owner search, search by name or surname

Sales Manager (1) • This module manages propertysales as well as the calculation of commissions • Existing property, seller and buyer information can be selected • This module also makes provision for the capturing of the bank, bond and transfer attorneys • The calculation of the commissions includes a selling agent, a buying agent and agency commission. • Commissions are automatically calculated but can be overwritten • A number of reports are available • When a property is involved in a sale and the sale has not been closed, the property sales status can either be “Conditional” or “Unconditional”. This is done automatically. Once a sale is closed the listing status in the “Property Manager” change to Not listed and the buyer will become the owner of the property

26. Website Update Form • After capturing all your properties you can simply click the “Update Website” button and update your own website. All other websites will be updated automatically at the same time • Every time you execute the update option, all active properties are reloaded on all linked websites • This form also enables you to update CyberAgent and modify your contact details

Sales Transfer Manager (1) • The “Sales Transfer Manager” is your link to your transfer attorney and allows you to send and monitor bond transfers electronically! • In order for you to make use of this module your transferring attorney must be registered with LAW (Lawyers Access Web). The “Setup” page tab enables you to check if your attorney is registered • The first page tab, “Sales”, lists sales captured in the “Sales Manager” and acts as navigator. It contains buttons for editing property, agent, buyer and seller detail • The “Sales Task List” page tab consist of a number of tasks for the current sale and enables you to monitor the progress of the transfer • “At a Glance” reports on all aspects of the transfer between you and the transfer attorney etc.
