  23. INCLEMENT WEATHER / EMERGENCY SCHOOL CLOSINGS • If there is a delayed opening, test ONLY if the entire section can be administered before lunch. If not, follow procedures below: • If the testing schedule needs to be altered due to delayed opening or closing: • Proceed with testing on those days only if the test can be administered uninterrupted. • Proceed with testing during the appropriate day (s) of the make-up week. • Submit a memo from the district test coordinator to the county test coordinator and NJ ASK coordinator specifying the modifications to the test administration scheduling: • Date & section of delayed or cancelled testing; • Reason for delay or cancellation; and • Revised testing schedule.

  25. NJ ASK 3-8MATHEMATICS Short constructed-response questions require students to write their responses to math items in their answer documents. Students in grades 3 through 8 willnot have the use of calculators for the duration of the short constructed-response parts of the mathematics section of the tests. Students in grades 3 and 4 will use the calculator for 25% of the test while students in grades 5 through 8 will use the calculator for 50% of the test.

  26. NJ ASK 3-8 MATHEMATICS Calculators will not be permitted during the SCR part of the NJ ASK 3-8. In grades 3 and 4, calculators will be permitted on one of the remaining timed parts of the test. The remaining parts of the test consist of MC and ECR questions. In grades 5 through 8, calculators will be permitted on three of the remaining timed parts of the test. The remaining parts of the test consist of MC and ECR questions. All students are prohibited from using a calculator during the non-calculator active parts of the math test; however, students whose IEP/504 plan allows for its use may use a calculator and or approved manipulatives (i.e., abacus, counting chips, number line,) on the MC and ECR parts of the test if the accommodation is documented in said IEP/504 plan.

CALCULATOR REQUIREMENT • District must provide students with calculators • Examiners must have extra calculators • Best calculator for a student to use is the calculator which he or she uses every day • All calculators must meet minimum acceptable functionality • Memories and programs must be cleared before and after testing • Remove instructional manuals and function reference sheets

  30. NJ ASK 2012 LEP STUDENTS (Non-Spanish speaking) ALL LEP STUDENTS MUST TAKE THE NJ ASK. THE ONE EXCEPTION IS FOR NON-SPANISH SPEAKING STUDENTS WHO ENTERED THE UNITED STATES AS WELL AS A LANGUAGE ASSISTANCE PROGRAM [currently enrolled in the program] ON OR AFTER JULY 1, 2011. THESE STUDENTS ARE NOT REQUIRED TO TAKE THE LAL SECTION OF THE TEST BUT MUST TAKE MATH AND SCIENCE. THE FRONT OF THE TEST BOOKLET CONTAINS CODING BUBBLE FOR THESE LAL EXEMPT LEP STUDENTS.

  31. NJ ASK 2012 LEP STUDENTS (Spanish speaking) NEWLY ARRIVED (ON OR AFTER JULY 1, 2011) SPANISH-SPEAKING STUDENTS SHOULD TAKE THE SPANISH LANGUAGE TEST. PLEASE REFER TO THE ELIGIBILITY GUIDELINES FOR SPANISH TEST TAKERS. THE GUIDELINES CAN BE FOUND ON THE NJDOE AND MI WEB SITE. THE SCHOOL USE ONLY SECTION OF THE TEST BOOKLET MUST BE GRIDDED: • LEP <1; AND • TIS AND TID < 1 YEAR.

  32. NJ ASK 2012 FORMER LEP STUDENTS LIMITED ENGLISH PROFICIENT STUDENTS WHO ARE ONE YEAR (F1) OR TWO YEARS (F2) EXITED FROM A LANGUAGE ASSISTANCE PROGRAM WILL BE AGGREGATED IN THE SUB-GROUP “LEP” FOR AYP PURPOSES. HOWEVER, THESE STUDENTS MAY NOT BE GIVEN ACCOMMODATIONS. PLEASE REFER TO APPENDIX D FOR DETAILED INSTRUCTIONS ON GRIDDING. IN YOUR SCORE REPORTS, THESE STUDENTS WILL BE REFLECTED IN THE SUB-GROUPS “GE” AND “FORMER LEP”.

  33. NJ ASK 2012 HOMELESS STUDENTS HOMELESS IS DEFINED AS A CHILD OR YOUTH WHO LACKS A FIXED, REGULAR AND ADEQUATE RESIDENCE, PURSUANT TO N.J.S.A. 18A:7B-12 AND N.J.A.C. 6A:17-2.3.

  34. NJ ASK 2012 MEDICAL EMERGENCIES A MEDICAL EMERGENCY IS DEFINED AS THE OCCURRENCE OF A SEVERE MEDICAL OR PYSCHIATRIC CONDITION OR EPISODE WHICH REQUIRES MEDICAL ATTENTION OR SUPERVISION DURING WHICH TIME THE STUDENT IS NOT ABLE TO PARTICIPATE IN STATE ASSESSMENTS.

  35. NJ ASK 2012 GRIDDING OF ANSWER FOLDERS/ TEST BOOKLETS GRIDDING INSTRUCTIONS ARE SHOWN IN APPENDIX D OF THE TEST COORDINATOR’S MANUAL. VERIFY THATALL INFORMATION ON THE PRE-ID LABEL IS CORRECT. ALL DEMOGRAPHIC CORRECTIONS CAN BE MADE ON THE TEST BOOKLET EXCEPT FOR NAME, DATE OF BIRTH, CDS CODE AND SID. *NOTE: DO NOT USE A PRE-ID LABEL FOR ANY STUDENT OTHER THAN THE STUDENT WHOSE DEMOGRAPHIC INFORMATION APPEARS ON THE LABEL. *PLEASE NOTE: FOR AFFIXING THE PRE-ID LABELS, REFER TO THE TEST COORDINATOR MANAUL FOR SPECIFIC INSTRUCTIONS.

  36. NJ ASK 2012 HEADER SHEETS THE HEADER SHEETS WILL COME PRE-SLUGGED WITH THE TESTING SITE CDS CODE. PRIVATE SCHOOLS WILL ALSO RECEIVE PRE-SLUGGED HEADER SHEETS. “CDS CODE OF SENDING SITE” HAS BEEN REMOVED FROM ALL HEADER SHEETS. RECEIVING SCHOOLSWILL NO LONGER BE REQUIRED TO COMPLETE THE SENDING SITE CDS CODE ON THE HEADER SHEET. THE SENDING SITE DISTRICT AND SCHOOL CODE MUST BE COMPLETED ON THE STUDENT’S DEMOGRAPHIC PAGE IN THE “SCHOOL USE ONLY” SECTION.

  37. NJ ASK 2012 Examiner SMID Beginning with the 2012 administration of the NJ ASK, examiners MUST grid in their assigned SMID on each student’s test document for each day of testing. If the SMID on the test document differs from the one previously collected in the Pre-ID file, the one gridded on the test document will be used. Districts may also make any SMID corrections necessary on the Record Change Roster after testing has been completed.

  38. NJ ASK 2012 Examiner SMID Only examiners in the classroom administering the assessment are submitted in this field. Proctors should not be submitted. If there is more than one examiner in the room, submit the person who is playing the most direct role in the administration. If different sections are administered by different people, submit the most appropriate one to this field.

  39. NJ ASK 2012 RESCORES / REPORTING Districts donot need to submit a rescore request form. Any student whose raw score total falls within ONE raw score point of the PROFICIENT level will go through an automatic rescore process prior to reporting. Any rescore that results in a change in score will be reflected in the district's reports. For the 2012 NJ ASK administration, DISTRICTS WILL ONLY RECEIVE PAPER COPIES OF THE INDIVIDUAL STUDENT REPORTS AND STUDENT STICKERS. All other reports will be posted on MI’s Web site. ISR and Student Stickers will be delivered the week of September 7 – 13, 2012. ALL SECTIONS ROSTERS will be posted online on August 2, 2012. All other reports will be available on September 10, 2012.

  40. WHO MUST BE TESTED? • ALL THIRD- THROUGH EIGHTH-GRADE PUBLIC SCHOOL STUDENTS IN NEW JERSEY: • General Education Students • Limited English Proficient Students • Special Education Students [unless APA] • Retained Students

TESTING SITES • Students Well Spaced With Ample Surface Area • Assigned Seating • Good Lighting & Ventilation • Clock & Chart to Display Time Remaining • NO Coats, Backpacks, Cell Phones, or other restricted electronics devices (i.e., mp3 players, etc.) • NO Instructional Displays • NEVER leave students unattended • NO Buzzers, Bells or Non-Emergency Announcements or Interruptions • Monitorsto Keep Hallways Quiet & Testing Rooms Undisturbed

  42. HOMEBOUND / BEDSIDE INSTRUCTION • Students receiving homebound or bedside instruction MUST be tested. • Testing may occur anytime during the 2 week testing period. • Examiner MUST be: • Licensedprofessional employed by the district. • Trained by school or district test coordinator. • Sign appropriate School Security Checklists. • Maintain test security at ALL times. • Return secure test materials to school coordinator ASAP each day after testing is completed. Please refer to the NJ ASK Test Coordinator Manual for detailed procedures.

  43. LIMITED ENGLISH PROFICIENT STUDENTS • All LEP students MUST be tested. There are NO exemptions. However, non-Spanish speaking students who entered the United States and a language assistance program on or after July 1, 2011 are not required to take the LAL section of the test but they MUST take Math and Science. • Former LEP students(F1 and F2) ARE NOT PERMITTED LEP accommodations. • You may provide one or more of the following accommodations to current LEP students: • Additional time up to 150% of the administration times indicated. • Translate directions only into the student’s native language. Translation of passages, items, prompts, and tasks is NOT permitted. • Use of a translation, bilingual dictionary, preferably one normally used by the student as part of the instructional program. • You must test any student receiving accommodations in a room separate from general education students.

  44. APA STUDENTS • All students NOT taking the NJ ASK must beadministered the Alternate ProficiencyAssessment [APA]. The APA is available inLanguage Arts Literacy, Mathematics, and Science. • If a student’s answer folder/test booklet is submitted to the contractor with responses, it will be scored, regardless of whether or not the student is coded as taking the APA. • Scores for these students will be included in all school and district reports. • PLEASE NOTE: If a student’s record indicates that he or she is exempt from taking the NJ ASK in all subjects, the record should not indicate that he or she has accommodations.

LARGE PRINT/BRAILLE • IF YOU KNOW YOU HAVE LP / BRAILLE STUDENTS AND HAVE NOT ORDERED MATERIALS, YOU MUST CONTACT MI IMMEDIATELY. • LARGE PRINT AND BRAILLE MATERIALS MAY ARRIVE WITH YOUR REGULAR TESTING MATERIALS, BUT WILL BE SHRINK-WRAPPED SEPARATELY. • EACH LARGE PRINT AND BRAILLE KIT WILL INCLUDE SUPPLEMENTAL INSTRUCTIONS THAT MUST BE USED IN THE ADMINISTRATION OF THE TEST. SOMETIMES, ITEMS ARE DROPPED AND THIS DOCUMENT WILL LET YOU KNOW WHICH ITEMS ARE ELIMINATED. REVIEW THESE INSTRUCTIONS PRIOR TO THE TEST ADMINISTRATION! • THE FORM DESIGNATION FOR THE LARGE PRINT AND/OR BRAILLE TEST MAY NOT BE THE SAME AS THE REST OF YOUR SCHOOL. THEREFORE YOU MUSTUSE ONLY THE MATERIALS PROVIDED IN THE LARGE PRINT / BRAILLE SHRINK-WRAPPED PACKAGE.

  47. LARGE PRINT/BRAILLE SPECIAL INSTRUCTIONS • ExaminersMUST transcribe the student’s responses into the regular-print answer folder/test booklet included in the kit. • Affixthe Pre-ID Label or Student Linking Label to the front of the regular-print test booklet, for grades 3 and 4, and grid all information on the LP and/or Braille test booklet. • ExaminersMUST complete an Irregularity Report (included in the kit) for each student who took a LP and/or Braille test. • STCMUST return the transcribed regular-print test booklet in the YELLOW special handling envelope with the used materials. The LP and/or Braille test booklets should be returned with the unused materials.

  48. Special Accommodations Envelope • Bright Yellow Envelope • Put ALL extra sheets of paper for students whose IEP provides for use of extra paper or computer in the envelope with the answer folder/used test booklet.   49. Out of District Placements (ODP) • Responsibilities of Sending Districts • All eligible students must be tested regardless of student location. • Sending districts MUST provide the receiving district with all “School Use Only” information for each student, as well as the CDS code for the sending district. • Sending districts MUST grid a Language Arts Literacy, Mathematics, and Science answer folder/test booklet for all ODP students taking the APA at a receiving institution.

  50. Out of District Placements (ODP) • Responsibilities of Receiving Districts / • Approved Private Schools • Public school receiving institutions and approved private school receiving institutions may conduct the administration of the assessment. • All ANSWER FOLDERS/TEST BOOKLETSMUST have the following information: 1. District and school code of the receiving institution under “Testing Site”. 2. District and school code of the sending district under “School Use Only” section • You must complete the “Students Attending Out-of-District Placements” form (page 56, Test Coordinator’s Manual). This form must be returned with the Scorable materials.
