  1. SDE Editing and Versions

  2. Data Editors • Each Field Office needs to decide who will be editing which layers in the SDE Geodatabase so the permissions can be set accordingly. • These users will be responsible for the edits and updates for those layers in their respective offices.

  3. Field Office User Name Layers they are responsible for editing within SDE Geodatabase. Data Steward for each layer. Dickinson Field Office Corinne Walter Oil and Gas data PAS UAS PLS LOT MIN CAS CAX WELLS FIELDS Information Needed for Permissions • ???

  4. Editing Process • Users need to be set up for SDE by their System Administrator. • All users need to know their Unix Login and Password. If they do not know their password, they will need to contact their System Administrator (if they are issued a new password they will need to telnet to the server, login and change their password to a new one beforethey create the connection in ArcCatalog). • When the user is ready to login to SDE for the ‘first’ time, they need to contact Shelley Johnson in the State Office to open the permissions that allow them to connect to SDE. An email will be sent to each user when their permissions have been changed.

  5. Email to User • Your SDE connect permissions have been set up. You are now able to connect to SDE. Please connect to SDE through ArcCatalog. Once you have successfully connected, reply to this email so your user permissions can be set up. You will be notified when your permissions are set up and you can log into and use SDE.

  6. Editing Process (cont.) • At this point the user needs to create a connection to SDE. • In ArcCatalog, click on ‘Add Spatial Database Connection’ and fill in the information in the connection window.

  7. Editing Process (cont.) Our raster SDE database houses the drgs, doqs, dems, and other raster datasets. You will need another SDE connection to pull in the raster data. The service and database are the only fields you will need to change to access the raster data. ServerName SDE Service Name esri_sde_ras Database Name mtras User’s Unix Login User’s Unix Password

  8. Editing Process (cont.) • Once the user has connected to SDE through ArcCatalog, they need to reply to the email that was sent to them to let the State Office know that they have successfully logged into SDE. This must be done as soon as the user logs in to track who has been given permissions. The user will only have select permissions to the database unless they have been designated as an SDE Editor.

  9. Versions • The first step in editing SDE data is to create a “version” (snapshot) of the DEFAULT SDE database so you are editing a copy and not impacting the DEFAULT database. • Each user will need to create a “version” when they check out data to edit from SDE.

  10. Create a Version in ArcMap To create a new Version, you need to turn on the ‘Versioning’ Toolbar – click on the ‘View’ pulldown menu, Click on Toolbars, and Then select ‘Versioning’.

  11. On the Versioning Toolbar, click on ‘Create New Version’.

  12. Fill in the ‘Name’ and ‘Description’ fields… Oil and Gas Edits Each user will create his/her own version of the oil and gas edits so the permissions should be set to ‘Protected’. Edits made by Corinne Walter Click on the ‘Switch to new Version’ and click ‘OK’. x

  13. Create Versions in ArcCatalog Connect to SDE with your regular connection. Right-click on your SDE database connection. Click on ‘Versions’. The Version Manager Window will appear. This shows you the existing versions. You can Rename, Delete, Create a version or change it’s properties in this window.

  14. Create a Version Right-click on the ‘DEFAULT’ version in the window. Select ‘New’…

  15. Create New Version in ArcCatalog Fill in the ‘Name’ and ‘Description’ fields Oil and Gas Edits Each user will create his/her own version of the oil and gas edits so the permissions should be set to ‘Protected’. Edits made by Corinne Walter

  16. If you create a new version in ArcCatalog and want to edit the new version, you will need to ‘connect’ to SDE using the new version instead of the ‘DEFAULT.SDE’ • You can do this by changing the version in the ‘Connection Properties’ window and selecting the version that you just created.

  17. Select the new Version and Click ‘OK’. Click ‘OK’ on the connection properties Window.

  18. Editing in ArcMap • When you edit in ArcMap, you will bring in the layer you want to edit from SDE (the version that you created), make the edits, save the edits, and then submit the edits for posting. • When you have edits that are ready to post, notify Shelley and she will post your edits to SDE.

  19. Posting to SDE • The edits are submitted by the editors for posting when their edits are complete and then are posted to the DEFAULT SDE geodatabase by the GIS data administrator. • An email form will be used for now to notify me about edits that are ready to post.

  20. In Summary… • We need a list from each field office of data editors for each layer in SDE. • Users machines should be set up for SDE in the XP deployment. • Notify Shelley when they are ready to login to SDE the first time. They will be notified when they can log in.

  21. In Summary (cont.) • Create a “version” to edit from the DEFAULT SDE Geodatabase. • Do your edits…. • Submit your edits for posting… • You will be notified if there were errors or conflicts with posting your edits.
