  4. 1. Inbox – Overview 2 1 The “Inbox” is where users can see all emails generated from the system where they are included (either ‘Recipient’ or ‘Sender’). The folders to the right are a representation of several of the “Inbox” submenu items. They are clickable just like the submenu items themselves. Each of these ‘folders’ is a view of the user’s “Inbox”.

  5. 2. Batch Uploads – Overview 1 “Batch Uploads” allow for the upload of certain information in bulk. Examples for “Batch Uploads” are Users, Categories, Organizations and Suppliers.

  6. 2. Batch Uploads – Batch Upload Definitions 1 2 “Batch Upload Definitions” are the defined and formatted templates which can be downloaded, filled with data and uploaded into VSM. It is also possible to create and define additional upload templates.

  7. 2. Batch Uploads – Batch Upload Definitions 1 2 Opening any definition will bring up the details related to this specific “Batch Upload Definition”. You can edit and modify the definition as well. Press the “Download File…” button to download the defined Excel file in order to fill it and upload bulk data into VSM.

  8. 2. Batch Uploads – Batch Upload Definitions 1 Still inside a “Batch Upload Definition” it is possible to see all upload attempts using this definition along with all related information.

  9. 2. Batch Uploads – Batch Uploads 1 “Batch Uploads” menu item is where you can find all attempted upload attempts independent of definition. The folders on the main section of the screen relate one to one to the submenu items.

  10. 2. Batch Uploads – Batch Uploads 1 Here is a look inside the “All Batch Uploads” folder. This is the collection of all attempted batch uploads.

Groups – Overview 1 “Groups” are created to facilitate the easy management of permissions based on job function. “Groups” can be thought of as container which you will then fill with permissions and users. Note: VSM only facilitates the creation of groups – the permissions will actually be assigned in SLM.

  12. 3. Groups – Detailed view 1 Clicking on any particular “Group” will bring up the detailed view. As the permissions are managed in the applications (SLM in this case), you will see the high level details and the users assigned to this “Group”. There is the possibility to add / remove users with the “Edit” button. As well as the possibility to “Clone” the “Group”. Note: the “Clone” functionality ONLY copies the “Type”(Internal or external) and the Application for which it is assigned.

  13. 4. Organizations – Overview 2 1 “Organizations” is the internal view of the company structure. The tree can be expanded exposing the organizational hierarchy. The “All Organizations” folder holds all “Organizations” in a flat view.

  14. 4. Organizations – List View 1 “Organizations” can be manually created, edited and deleted through the flat view.

  15. 4. Organizations – Detailed View 1 The detailed view is where you can view, edit all the details of that specific “Organization” as well as delete the “Organizations”.

  16. 5. Roles – Overview 1 “Roles” are pre-defined permission groups for VSM. Additional “Roles” can also be created, but the default set is generally sufficient.

  17. 5. Roles – List View 1 The detailed view of a “Role” looks and works exactly like “Groups”. You will see the basic details, users assigned to this “Role” as well as have the ability to “clone” it.

  18. 6. Users – Overview 1 The “Users” menu item is where you will find all users and contacts of the system – internal and external. The different folders are different groupings of the user base.

  19. 6. Users – List View 1 2 Selecting a particular folder of “Users” will bring up a listing of all users within that particular grouping. To create a new user manually simply press the “Create…” button (detailed on the next slide).

  20. 6. Users – Creating User 2 1 At a minimum you must fill in all mandatory fields – those marked with an *. All other information is not mandatory and may be filled in if so inclined. To finish the creation press the “Save” button.

  21. 6. Users – Creation pt. 2 1 2 Double clicking a newly created user will bring up the details of this particular user. In order for the user to be able to login to the system, they must be “Activated”. Press the “Activate User” button to send the login details to the user and allow them to log into the system.

  22. 6. Users – Creation pt. 3 1 On the “Roles” tab, assign the appropriate “Roles” to the newly created user.

  23. 6. Users – Creation pt. 4 4 1 2 3 Lastly, the user needs to have the appropriate Applications activated for them. Do this on the “Applications” tab. Tick the box for each and every “Application” for which the user needs access. Assign the appropriate user “Groups” for each application (via the “…” button). Once finished, press the “Save” button.

  24. 7. Categories – Overview 1 “Categories” are managed from within the “Virtual Supplier Master” tab of VSM. The folder correspond directly to the submenu items on the left hand menu. Double clicking any of the folders will bring up the list view.

  25. 7. Categories – List View 1 The list view shows a flat view of the “Categories.” From the “Master” folder “Categories” can also be created. “Categories” can also be discontinued from this screen.

  26. 8. Regions, Countries, States – Overview SLM comes preloaded with a “Region” “Country” “State” structure. A “Region” is defined as a group “Countries.” All are maintained exactly the same as “Categories.”

  27. 8. Regions, Countries, States – List View 1 The list view shows a flat view of the “Regions,” “Countries” or “States” – which ever is selected. From here, you can also create or modify the existing entries.

  28. 9. Suppliers – Overview 1 The “Suppliers” menu item is where you will find all “Suppliers” in the Emptoris Suite and from which application they are residing. The folders on the main screen correspond directly with the submenu items on the left.

  29. 9. Suppliers – List View 1 2 The list view shows a flat list of the “Suppliers” in the selected folder. When a “Supplier” is created and cleared in SLM , the “Supplier” will still need to be “Mastered” in order to make the “Supplier” available for other applications. If there is no “Master ID,” the “Supplier” is unmastered. The “Master ID” column is a quick reference for whether a supplier record is mastered or not.

  30. 9. Suppliers – Detailed View 1 Clicking any “Supplier” will bring up the detailed view. From here it is possible to “Discontinue” the “Supplier” – which will move the “Supplier” to the discontinued folder, remove it from the applications and make it impossible to start new processes with this “Supplier.” It is also possible to “Merge” the “Supplier” with another – which allows you to create a composite “Supplier” record with master data pieces from multiple (two or more) “Supplier” records.

  31. 9. Suppliers – Contacts/Users 1 The “Contacts/Users” tab will show all contacts and users related to the specific “Supplier.” You can also create new supplier “Contacts” and “Users” here.

  32. 9. Suppliers – Mastering 2 1 3 The “Closest Matches” tab is where you will check for similar existing supplier records. If you find an existing “Mastered” record which looks like the same supplier, you can “Link” these suppliers. When a supplier is ready to be “Mastered” and sent to other applications simply press the “Create Master…” button.
