This guide provides VPs with detailed instructions on managing the applicant stages in AIESEConline.net, including incomplete applications, pending applications, accepted EPs, and matched EPs.

Stage 1: Incomplete Application • Applicants who filled in parts of the application but haven’t finished it. • VPs should email them from time to time to ask them whether they are still interested. • If they are still interested, please remind them to submit their application.   7. Stage 2: Pending Applications • Applicants who completed application and waiting for interview. • Contains applicants’ contact information such as email, cell phone number, or even emergency contact. AIESEConline.net Guide for VPs

Action to take the applicants to the next stage • VPs arranges assessment center and individual interview with applicants. • If applicants pass the assessment center/interview, then VPs accept their application. • When VPs accept applicants application, AIESEConline.net automatically charges applicants the Application Fee ($150). • VPs do not accept the pending application if the EP is a Reverse Match.   10. Action to take applicants to the next stage: Accepting Application On the bottom of the page, VPs check the box and click on “Approve” to accept the application. When “Approve” is clicked, AIESEConline.net automatically charges applicants the Application Fee ($150). AIESEConline.net Guide for VPs

  11. Stage 3: EPs Ready for My@.net • Applicants who are officially accepted into the program and become EPs. • EPs are waiting for Induction, where we introduce them to AIESEC. • EPs are also waiting for us to show them the traineeship database (myAIESEC.net). AIESEConline.net Guide for VPs

  12. Action to take EP to the next stage • EPs create an account on myAIESEC.net, then an EP form on myAIESEC.net, which automatically give them an EP ID. Please refer to “HOW TO – Raise an EP form for VPs” in OGX Resource Center on Podio OGX Space (https://aiesecusinc.podio.com/ogx/) for this process. • VPs then insert the EP ID on AIESEConline.net.   14. Stage 4: EPs to be set on Available • EPs who have a EP form on myAIESEC.net. • Their status on myAIESEC.net is “New”, but they need to be on “Available” to search the database. AIESEConline.net Guide for VPs

Action to take EP to the next stage • Cindy receives an email telling her to change this EP to “available” on myAIESEC.net when VPs click on “Save ID”. • After she change the status on myAIESEC.net, she will change EPs to the next stage (EPs on Available) on AIESEConline.net. Stage 5: EPs on Available • EPs who have an “Available” EP form on myAIESEC.net. • They are ready to email TN managers and interview for TNs. • This tells us we should match EPs as soon as possible. • Important Note:EP form is only on “Available” for one year. After that, EP form will expired on both myAIESEC.net and AIESEconline.net. After expiration of EP forms, EPs need to pay another Application Fee ($150) to regain access to myAIESEC.net. Action to take EP to the next stage • EPs are matched with exchange of Acceptance Notes (AN) and change of status on myAIESEC.net to “Matched”. • Cindy checks myAIESEC.net for matches every Friday. She charges them the Match Fee ($350 for GCDP, 450 for GIP Education, $600 for GIP Non-Education) on AIESEConline.net and take them to the next stage (Matched EPs). AIESEConline.net Guide for VPs

  18. Stage 6: Matched EPs • EPs who was successfully charged the match fee • EPs are matched with a TN and is waiting for us to prepare them to go abroad • This is the last stage for EPs on AIESEConline.net. AIESEConline.net Guide for VPs

Action to take the applicants to the next stage: Reverse Match • Reverse match is when AIESEC’s National/International Partners such as UBS interviewed and accepted a student from another country and wants the student to go through AIESEC. • MC VP ICX of the Hosting Country will contact MC VP OGX of the Home Country (in this case, Zach) to do reverse matching. • Depending on where EP lives (or originally from, some of them might already be abroad), Zach will assign an LC to the EP and the EP will count as a match in Matched EP of the LC. • For a reverse match, EP fee will be less ($360 instead of $450 for teaching and 450 instead of 600 for non teaching) • because LCs will not provide services such as Induction, TN searching, Outgoing Preparation Seminar, support during realization to this EP. Action to take the applicants to the next stage: Reverse Match Process • When VPs are assigned a reverse match EP by Zach’s email, VPs need to guide EP through the application process on AIESEConline.net. • After EP submits his application on AIESEConline.net, instead of accepting his application, VPs need to email Cindy to directly move his application from Stage 2 “Pending applications” to Stage 3 “EPs ready for my@.net”. • Meanwhile, VPs need to guide the EP through the process on myAIESEC.net to create an account and raise an EP form. • Once EP has the EP ID and his EP form is complete, VPs insert the EP ID on AIESEConline.net. AIESEConline.net will email Cindy to change the EP to “available” on AIESEConline.net and myAIESEC.net. • After the EP form is set to “available”, please email Zach and Cindy the EP ID.
