What is a memo? • A business memo – • formal written message, written in a conventional form for someone who is within the organisation to meet a specific purpose/need. • important form of corporate communication • clear and concise communication of complex subjects • writing style and approach applicable to other communications, such as email • solves problems and act as a means of decision making.

Purposes • Describes problems • Request information or additional resources • Contain proposals/requesting proposals • Contains office instructions • Explain policy statements • Persuades the reader to take action • Invite/ give feedback, suggestions or recommendations • Seek explanations • Give polite reminders

  4. Characteristics • Conciseness • Accuracy • Clarity • Informal/Conversational tone • Unit of theme

  5. Format • Heading • DATE • TO • FROM • SUBJECT • Opening • What is the problem? • What led to the need of problem? • What is the purpose of drafting memo

  6. Body • Contains the message • Describes; explains; discusses the central idea • Begins justifying the importance of main point • followed with more information and supporting detail • Ends with key recommendation • Closing • Courteous ending • Seeking response • States the action to be taken by the readers

You will receive your new medical card and a booklet outlining the terms and conditions of the scheme by June 30. • The main features of SCS include: Medical reimbursement for treatment at private hospitals Direct payment to AIIMS and other national hospitals Medical facilities for retired staff

  9. SCS Health Plan is compulsory for all the employees of the company. The use of the medical card is mandatory. I am sure the new health scheme will improve the existing medical facilities and would benefit our employees.
