AccessOnline Registration • Cardholders can register to use AccessOnline at: https://access.usbank.com • DCA’s also can register by contacting the Procurement Card Coordinator directly. • Once registered you can begin using AccessOnline at the above address. • Use Internet Explorer version 6.0+

  4. AccessOnline Registration, cont. • Enter “UCR” for Organization Short Name 2. Create a User ID 3. Create a password 4. Click here

  5. AccessOnline Registration, cont • Enter “UCR” for Organization Short Name Enter 92521 2. Cardholders enter your 16-digit credit card number. Lastly, click on this Select expiration date shown on your card

  8. AccessOnline Registration, cont Everything with an asterisk must be filled in. Since this is the address and phone number that US Bank uses to contact you, make sure that you use your office address and phone number. Click here

  10. What can Access Online do for me? Use the left hand navigation bar to navigate through AccessOnline

  11. What can Access Online do for mecont.? View Transactions • View Transactions • You can view a list of your transactions for the current (open) cycle and the past six closed cycles, as well as any details available for each transaction.

  12. AccessOnline--—Transaction Management Transaction amount All (leave blank) Exact amount < or > Lists transactions for the last 6 months. When done, click here.

  13. AccessOnline—Transaction Management-cont. If “All” was clicked for “billing cycle end date”, display will show all transactions within the last six months Depending on the level of detail that a vendor provides to Visa, cardholders and DCA’s can access specific transaction detail by clicking on the transaction date (hyperlink)—Level 3 Vendors provide line item detail. Please see attached for a listing of some Level 3 vendors. Storehouse gives vendors an internal PO which helps them reconcile.

  14. AccessOnline—Transaction Management-Level 3 Data Level 1 & 2 merchants will only list Summary and Allocations. Level 3 merchants will list transaction line items When vendors request a Purchase ID and or reference number, departments may assign a departmental PO, a person’s name or any other helpful information. This may help with reconciliation.

  16. What can Access Online do for Me?View Statements • View your Statement for the last three billing cycles. The statement is available the day after the cycle ends. • UCR’s billing cycle end date is the 25th of each month.

  17. AccessOnline Features—Account Information-Cardholder Statement Clicking on Account information-Cardholder Statement-will list the last three billing cycles.

  18. AccessOnline Features—Account Information-Cardholder Statement, cont. Statement will list all transactions within a billing cycle.

What can Access Online do for Me? • Account Profile-Enables you to view important information about your account. • Authorization limits • Account status and authorization limit information (i.e. credit limit, single purchase limit, available credit • Demographic Information-Cardholder name, address and contact information • Additional information-(i.e. cycle day, open date)

  20. AccessOnline Features—Account Information-Cardholder Account Profile The two most helpful summaries are authorization limits and account information

  21. AccessOnline Features—Account Information-Cardholder Account Profile-Authorization Limits Credit Limit: Per monthly cycle amount-Limits are refreshed every cycle-UCR’s is the 25th of the month. Available Credit: The amount a cardholder has left to spend in a given monthly cycle Single Purchase Limit: The amount a cardholder may spend for a single transaction-includes tax and freight.

  22. AccessOnline Features—Account Information-Cardholder Account Profile-Account Profile Current Balance and Past Due Balance will always be 0.00 for Procurement Cards.

What can Access Online do for Me?Reporting • Reports- • As a cardholder, you can access information and set report parameters that will give you detailed transaction information about your account. • As a DCA, you can access information and set report parameters that will give you detailed transaction information about one account or all of the accounts in your department.

  25. AccessOnline Features—Reporting-Transaction Detail, cont. You have several options for dates: Transaction date: the date the transaction occurred. Posting Date: The date the transaction was posted to US Bank’s system Cycle Date: UCR’s cycle date is the 26th of one month to the 25th of the next. Normally, leave these at all

  26. AccessOnline Features—Reporting, Transaction Detail, cont. Can put an exact amount or either < or> Normally, leave these at the default Normally, leave these at the default If you are searching for a certain vendor you can click on this screen and enter vendor’s name

  27. AccessOnline Features—Reporting, Transaction Detail, cont. Typically, this should be left blank for Cardholders, since they only have one account. DCA’s may limit their search by inputting only one of their accounts. The default (leaving blank) will bring back all of your accounts. You have thirteen different sort options Three different options-PDF, Browser or Excel Lastly, click on Run Report

  28. AccessOnline Features—Reporting, Transaction Detail, cont. This is an example of a PDF form. If you need to manipulate information, it is advisable that you download using the Excel report type.
