This presentation will familiarize you with the functions of Member Access, including registration, contribution tracking, email subscriptions, meeting registration, and access to RI Club Administration and District Administration Software. Learn how to use Member Access for all Rotarians, club presidents and secretaries, and district governors.

  1. Member Access

  2. This presentation will help you familiarize yourself with the functions of Member Access. Throughout this presentation, you can enter the live rotary.org Web site. To return, click the Back button in your Web navigation toolbar.

  3. Menu Learn how to register on Member Access and about the functions available to you. Basics For All Rotarians Learn about the extra Member Access functions for club presidents and secretaries. For Club Presidents and Secretaries Learn about the extra Member Access functions for district governors. For District Governors To return to this menu at any time, click here.

  4. Location of Member Access Member Access can be found on the RI home page, www.rotary.org.

  5. Member Access Functions Using Member Access, Rotarians can: • Contribute to The Rotary Foundation. • View your personal contributions to The Rotary Foundation. • Manage e-mail subscriptions. • Register for meetings. • Visit the RI Club Administration Software (RI-CAS) and RI District Administration Software (RI-DAS) Support Forum. • Download RI-CAS and RI-DAS software.

  6. Registration To register for Member Access you will need the following: • Your district’s number • Your club’s number • Your membership ID number • A valid e-mail address

  7. Registration Information How can you obtain the necessary numbers to register for Member Access? • From your club secretary • From your Club and District Support representative • From RI’s Data Services Department

  8. Sign-in for returning users. Sign-in for new users. Sign-in Screen

  9. Sign-in Screen: New Users Enter your district, club, and membership ID numbers.

  10. Username and Password Once you have registered your identification numbers, Member Access will prompt you to designate your e-mail address as your username. A password will then be e-mailed to you. When returning to Member Access, sign in with your username (e-mail address) and the password you received. You may change your password and username in Member Access.

  11. The frequently asked questions button is available on each page for quick answers to your questions. Frequently Asked Questions

  12. Main Screen All Member Access navigation options are displayed in the green highlighted box on the left-hand side of the screen.

  13. Rotarians can contribute online to The Rotary Foundation using a credit card. Rotary Foundation Contributions

  14. Rotarians can view the history of their contributions to The Rotary Foundation, including Paul Harris Fellow and Major Donor status. View Your Contribution History

  15. Rotarians can choose the categories of e-mail correspondence they would like to receive. This screen also shows the e-mail address to which subscriptions are sent and the option to update it. Manage E-mail Subscriptions

  16. Register for Meetings Select the meeting you wish to register for and follow the prompts to complete your registration.

  17. RI-CAS and RI-DAS Support Rotarians can post messages to the support forum to answer or ask questions about RI-CAS and RI-DAS.

  18. Download Software Rotarians can download RI-CAS and RI-DAS software after completing a licensing agreement.

  20. Club Officer Functions With Member Access, club presidents and secretaries can • View and change club membership data. • Pay club dues. • Search club and district data. • Update club data. • View reports of Rotary Foundation contributions.

  21. Club presidents and secretaries have additional navigation options. These are displayed in the green highlighted box on the left-hand side of the screen. Main Screen

  22. Update Membership Data Add members to your club. View Rotary Foundation and membership reports. Download a list of club members to your computer. View club data (meeting details and incoming officers). View terminated members. View or update individual records.

  23. The view function shows the name and contact information for each member. You can also view Committee participation Offices held Membership details View Membership Data

  24. The edit function allows you to change Contact information Member information Edit Membership Data

  25. When adding a new member to your club, search for that member first to avoid duplicates. You can search using the membership ID number or name. Add Members

  26. When terminating a member from your club, use the drop down boxes to indicate Reason Date Terminate Members

  27. You can view your club’s semiannual report and pay club dues using a credit card. Pay Club Dues

  28. The online version of the Official Directory allows you to View current committees and task forces. View the RI Board of Directors and The Rotary Foundation Trustees. Search for club and district information. Search Club and District Data

  29. Use the Club Data Form to change your club’s Meeting day Meeting time Meeting location Other details Update Club Data

  30. The bottom portion of the Club Data Form allows you to enter the names of incoming club officers. Update Club Officer Information

  31. A Club Recognition Summary (CRS) report shows contributions to The Rotary Foundation for all club members and other donors. The district governor also has access to this report. View Club Recognition Summary

  32. A Monthly Contribution Report (MCR) shows Rotary Foundation contribution information for all clubs in your district. The district governor also has access to this report. View Monthly Contribution Reports

District Governor Functions With Member Access, district governors and governors-elect can • Search club and district data. • Access the District Governors Forum. • View reports of Rotary Foundation contributions. • View incoming officers. • Review club data.* • View membership histories.* • Indicates functions that district governors-elect cannot access until they take office.

  35. The district governor’s navigation options help you to support the clubs in your district. The options are displayed in the green highlighted box on the left-hand side of the screen. Main Screen

  37. Search contact information for your class of governors. District Governors Forum • The District Governors Forum allows you to • Participate in discussion forums and polls. • Download up-to-date documents and handouts. • View a calendar of events. As governor-elect, access information on the International Assembly and spouses training.

  38. A Club Recognition Summary (CRS) report shows contributions to The Rotary Foundation for all club members and other donors. View Club Recognition Summaries Retrieve a list of Rotarians for each club who are Paul Harris Fellows and Benefactors.

  39. A Monthly Contribution Report (MCR) shows Rotary Foundation contribution information for all clubs in your district. View Monthly Contribution Reports Use these reports to help club presidents-elect set club Foundation giving goals.

  40. View Incoming Officers View a list of incoming club presidents and secretaries in your district for mailing and contact information. This summary will indicate which clubs haven’t reported their officers for publishing in the Official Directory.

  41. Review Club Data View club charter dates, current membership data, including active or terminated club statuses, for all clubs in your district. This information will help you identify smaller clubs in need of additional support from the district or locations where new clubs could be organized.

  42. View Membership Histories This summary indicates which clubs need to submit their semi-annual report (SAR) to RI. Identify clubs with declining membership and provide extra support to rebuild their membership base. Use this summary to help club presidents-elect draft membership goals for their year.
