  1. Transition Workshop Brought to you by the Student Involvement Board and the Office of Campus Activities

  2. Basics Most organizations are currently going through the elections process. It is important to have an effective plan to transition new officers for many reasons: ~New officers will re-register your group with Campus Activities ~New officers will be in charge of the organization. If they do not know what they are doing, the organization will suffer.

  3. Things to Think About • ~Most transitions happen at the end of the Spring semester into the Summer. • You will need to plan to work with new officers soon so they are prepared for summer deadlines including but not limited to: • Call for Programs (Due by May 4th for Fall 2012 Semester). • 240 Curry Office Space Allocation Application (Due May 18th for 2012-2013 year). • ~For larger organizations, think about having a day or a couple of days focused solely on transition • Think about having a retreat or other event to work on transition and building relationships between new officers • ~Do your new officers know your constitution? Bylaws? • Bylaws do not need to be formal like the constitution, but they will be just as helpful to your group!

  5. Communication! Make sure your successor knows the importance of keeping in contact with your advisor! New officers should be fully aware of who is the Campus Activities Program Manager for your group! Inform new officers that Campus Activities, your group’s advisor, and the Student Involvement Board are here to be resources to student groups.

Using OrgSync to assist in successful Transitions • Calendar • Uploading events for your group • Upload group meetings and events for only members of the group to see • Good for bookings made the semester before and deadlines for new officers • Upload events to the community calendar • Can be used to publicize future events

Using OrgSync to assist in successful transitions • Files • Great tool to store files like minutes, attendance, and other group documents • Easy to store transition materials and full descriptions of officer responsibilities • Create a list of all organization accounts and passwords for easy recovery if all passwords are lost • The one place to get all of the documents from Campus Activities

Using OrgSync to assist in successful transitions • Forms • A simple way to collect information from group members • Examples for use • Determining a good meeting time among members • Signing up volunteers for service events • Applications for appointed positions • Polls • A function that makes it easy to gain votes on simple questions • Easy way to poll members during the summer • Good for transitions because information is easily recoverable from Campus Activities.

Evaluation Technique for Effective Transitions: SWOT Analysis • Why SWOT? • Simple to use • Encourages collaboration • Looks at entire picture Questions to Ask: • Strengths: • Competitive advantages? • Resources? People? • Innovative/unique qualities? • Weaknesses: • Vulnerabilities? • Ineffective practices or systems? • Core mission/vision? • Opportunities: • Campus resources? • Collaboration opportunities? • Recruitment conditions? • Threats: • Campus life policies? • Competition for members? • Financial and scheduling issues?
