  1. Using Formulas to Compute Pay Types

  2. Payroll Information In some cases, the use of formulas is needed to calculate the rate for a pay type. This can now be done on the Pay Type screen of the Employee Master File. To access, select Option #01 - Payroll Information.

  3. Payroll Information From this menu, select Option #20 – Change Employee Information. At the prompt, choose “U” to Update.

  4. Search & Select Depending on your set up, you may get the Search & Select screen. Whichever way necessary, select an employee that rate will apply to, and choose screen #03 – Pay Types.

  5. Pay Type Information Here you will see the rates at the top of the screen, with the pay types listed below. The pay types that are based on a salaried or hourly amount will default. To change the default, use your <ENTER> key to highlight the necessary type. In our example, we will change the Overtime rate of pay.

  6. Notice that currently, the Overtime Rate is simply 1.5 the employee’s Hourly Rate. The Train Supp (#008) is a flat dollar amount of $5.00. We are going to change the Overtime to also take the Train Supp amount into consideration for Overtime.

  7. If we manually calculate the Overtime Rate to include training supplement, it would look like this: 11.0900 (hourly rate) + 5.0000 (train supp) = 16.0900 16.0900 X 1.5 = 24.135 Rounded to two decimals, the new Overtime = 24.14

  8. To access the formula screens, first make sure you have the pay type to calculate highlighted, and hit <F4>.

  9. Once you hit <F4>, this screen will appear with the current rate at the top of the screen. There are up to 20 lines you could create formulas with. The first 10 are shown here. To access lines 11-20, hit <F4> again.

This screen is basically made up of four types of entry: • Chart/Code: Enter the pieces of the formula, either Skill/Pay Chart or predefined codes, if applicable. • Value: Enter the numeric value, if applicable. • +-*/: The mathematical function • Result: Enter the user-defined code for the result of each line of formula.

  11. Sample Codes: • SHR = “standard hourly rate”; uses the employees hourly rate, from screen 03. • P*** = “pay type”, where the asterisks represent the pay type number (P008 would be the value of pay type #008) • FHPY = “frequency code hours per year”; represents the hours from the frequency code. • W3** = “result to 3 decimals”; represents a result, where the asterisks represent the sequence number. • W2** = “result to 2 decimals”; represents a result, where the asterisks represent the sequence number. • RATE = “final result”; defines the final result as the new rate of pay.

Let’s look again at our manual calculation: 11.0900 (hourly rate) + 5.0000 (train supp) = 16.0900 16.0900 X 1.5 = 24.135 Rounded to two decimals, the new Overtime = 24.14 Using the codes, it would look like this: SHR + P008 = W301 (hourly rate plus pay type equals first result to three decimals) W301 X 1.5 = W302 (first result times 1.5 equals second result to three decimals) W302 = W203 (second result is rounded to two decimals and therefore makes a third result) W203 = RATE (third result becomes the final result and therefore the new pay type rate)

  13. First line of calculation representing: 11.0900 (hourly rate) + 5.0000 (train supp) = 16.0900

  14. Second line of calculation representing: 16.0900 (first result) X 1.5 = 24.135

  15. third line of calculation representing: 24.135 (second result) = 24.14 (third result)

  16. fourth line of calculation representing: 24.14 (third result) = rate of pay

  17. The Result Once you have entered all lines of formula, hit <F9> to return to the pay type screen. You will now see your newly calculated pay rate. NOTE – All pay types that are using the formulas to compute a rate will be marked with an asterisk next to the pay type number.

  18. Mass Update Since these formulas are being added to only one employee record, you may need to mass update to other employees. Do to so, hit <F4> to return to the calculation screen. You can now hit <F5> to run the Mass Update.

  19. Mass Update Once you have accessed the Mass Update screen, use whatever necessary filters you need to update the group of employees you need. Hit <F9> to accept the screen, and you will see the prompt at the bottom showing how many records have been updated, as well as a message stating the update is complete.

  20. Changing Rates Keep in Mind!!! If you come to screen 03 to change an employee’s rate of pay, you will need to <ENTER> through any calculated pay types so that the new rate will re-compute in the formulas. For example, we have changed this employees hourly rate from $11.09 to $12.00. Simple <ENTER> through to the OT, and it will recalculate.
