  1. Staff Web Pages:New Directory, New URL Fall 2008

Why? • Current server is 4-1/2 years old and will be retired. • Software that provides your access to staff site requires maintaining outdated files, and may break without warning. • New server is an “upgrade”: • Virus Checking! • More stable access to your web files! • Process of having/maintaining a staff page will be easier!

  3. What Will Happen? • W: drive will be created to provide access to your staff pages (replacing \\webfiles\yourNetID). • Systems will copy your staff web site to the new server; it will appear in your W: drive. • The base URL of your staff page will become: • http://staff.lib.msu.edu/yourNetID • Temporary redirect from old staff page(s) to new staff page(s).

  4. The W: Drive • Works like your X: drive. • Automatically appears when you log in to the Libraries’ network. But I already have a W: drive! Map the space that’s now on W: to a different drive letter. If you would like help, submit a Sysdoc.

  5. Files and URLs • Files and folders will be copied from \\webfiles\YourNetID to your W: drive: • Example: \\webfiles\snerdkopf\guides\horenzo.htm becomes W:\guides\horenzo.htm • URLs will change: www.lib.msu.edu/snerdkopf/guides/horenzo.htm becomes staff.lib.msu.edu/snerdkopf/guides/horenzo.htm

Links • Some links on your pages will need to be changed to reflect the new web site: • Relative links for files within your site like <a href=/snerdkopf/guides/horenzo.htm> can stay the same because all of your pages will be in the same place relative to the new server’s “home” • Absolute links like <a href=www.lib.msu.edu/snerdkopf/guides/horenzo.htm> must be changed, because they include the old server name.

  7. Redirect • A redirect will be put in place when your site is moved to the new server. • Whenever someone requests a page from your site, the redirect will replace the old server’s name with the new one. • For example: http://www.lib.msu.edu/snerdkopf/guides/horenzo.htm will be redirected to http://staff.lib.msu.edu/snerdkopf/guides/horenzo.htm. • The redirect will remain in place for some months, but not indefinitely!

  8. But I don’t have or wanta Staff page! That’s OK!… If you don’t set up a Staff web page, http://staff.lib.msu.edu/YourNetID will point to your entry in the Staff Directory on the Libraries web site.

  9. Limitations • Maximum total size: 100MB Need more? Send a Sysdoc! • File Naming: • No spaces • Various browsers handle spaces in URL’s differently • No slashes: \ or / • We recommend no punctuation at all (except period (.) before ‘html’) • File Types: • No .exe or .cgi files • They won’t work, and can transmit viruses or malware • No .tiff files • Due to size; people viewing pages may have slower connections

Multimedia Files • Multimedia files should be stored on StoreMedia • http://www.storemedia.vudat.msu.edu • (log in with NetID & password) • How to produce video in Camtasia and upload files to StoreMedia • http://help.storemedia.vudat.msu.edu/ppt_camtasia/ • .mov (QuickTime) and .flv (Flash) files only

  11. General Reminders • Your W: drive is a public space! Everything you put there is visible to the whole world! • “Where Can I Put My Stuff” guide on Intranet • http://intranet.lib.msu.edu/systems/filemgmt2.html • Housekeeping opportunity! Do all of the links on your staff page(s) still work correctly? Are some pages obsolete or duplicated elsewhere?

  12. Systems’ Timeline October: Explain process of migration to staff at various meetings. New staff members’ sites are created on staff.lib.msu.edu, and maintained using W: drive. November: Meet with staff members whose sites need special attention. Some of these sites may be moved to the new server in November. December 11 - 15: Systems copies staff web sites to new server and creates W: drives. Staff members see W: drives when they log in to the Libraries’ network.

  13. What do I need to do? Before Monday, November 10: If you have special concerns about your staff web pages, or if the “standard plan” won’t work for your site, send a Sysdoc to make an appointment with a Systems staff member. Before Thursday, December 11: If you have a file space mapped to drive W:, change it to another drive letter. If you need help, please send a Sysdoc. After Monday, December 15: Check to see that your W: drive and your staff web site work properly. Check your site for links that point to www.lib.msu.edu/YourNetID and change them to staff.lib.msu.edu. If you would like a list of pages that you need to change, please send a Sysdoc to request one.
