  1. Introduction to CONTENTdmSoftware Crossing Organizational Boundaries Metadata Workshop October 29, 2002

  2. What we’ll talk about • CONTENTdm software modules and how to access them • Searching for images • Metadata entry • Metadata modification • Other operations • Gotchas • Getting help

  3. CONTENTdm Modules • CONTENT – live • CONTENT – dev • What it means to “go live” • In-Progress page • Server Administration Module • Acquisition Station – used to bring images into the software. (Not taught today)

  4. Search For An Image • Three ways to find an image: • Server Administration Module • In-Progress page search • In-Progress page browse • Efficient searching • Give it “just enough” information • Example of too much • Example of too little • Browsing as a finding aid

  5. Adding Metadata • Accessed through Server Administration Module • Logging in • Search for image • Can see all fields • Add the information • Save • Build text index (or you won’t be able to see your work) • Check work

  6. Changing Metadata • Accessed through Server Administration Module • Log in • Search for image • Make your changes • Save • Build text index • Check work

  7. Other Operations • Other operations in menu: • Delete an image • Global Search & Replace • Both operations are potentially dangerous to your images or collection • It is possible to get the data back – call Anne • GREATLY prefer if you work with Theo or Julie if you need to use these operations!

  8. Changing Field Properties for Your Metadata • Another “dangerous” operation ------ • The metadata is stored in fields in a database • The database fields are defined in “Field properties” • Field properties describe whether certain data is hidden from public or searchable, and what DC mapping it has. • Currently each organization’s field properties are based on a default template • The field properties can and will be customized for each organization • Julie and/or Theo will assist with this

  9. Possible Gotcha’s • Logging in without “libraries\” in front of username • Pressing Enter in a field is like pressing the “make changes” button • Solution: use the Tab key or mouse to move between fields • Forgetting to do a Build Text Index • Browsing returns photos which aren’t yours • Solution: choose your collection from the drop down menu • Frustrations with searching • Use “efficient” searching methods

  10. Your Support Team For help with: • CONTENTdm software: • Anne Graham • Metadata questions: • Theo Gerontakos or Julie Kerssen • Historical research: • Lorraine McConaghy • Keep the card near your computer
