  1. Site License Advisory Team February 28, 2014 meeting

  2. Agenda • Pricing Changes for SLS Products • Upgrades • Minitab • xWin and FastX • MATLAB 2014a • Adobe Creative Cloud • Microsoft Campus Agreement • Microsoft Support calendar for 2014 • Windows XP, Office 2003, Server 2003 and SQL 2008 are affected • OCIO IT Expo • March 27th from 9 to 4

  3. Pricing Changes for SLS • OCIO Site License Software no longer has any budget • When we renew software going forward, OICO must now recover 100% of all our licenses • Products that were free will become chargeback • Products that were subsidized will see price increases

  4. Pricing Changes for SLS • Most products are priced to cover approximately 60-90% of the total cost • Free products, such as Minitab and xWin, were 100% covered by OCIO budgets and are no longer • Departmental cost shares will keep the prices lower as well • Most pricing changes will happen on July 1, 2014

  5. Upgrades • Minitab 17 • Pending testing and update to the server • may require uninstallation of Minitab 16 across campus before we can update • xWin32 2012 • Available now on OSU SLS • FastX • New product, part of xWin32, available now on OSU SLS • NVivo for Mac • Expected out in May • MATLAB 2014a • Expected out in mid-March: current codes will work and students will see it as an option to install when released.

  6. JMP Renewal • JMP • Renewal codes now available (old codes hard fail March 1, 2014) • If you have not yet requested them, today is a great day to do so!

  7. Adobe • Adobe brought a new pricing option to the table in early January. • We will have a meeting to discuss next week or the following week: OCIO is working to book a room in the Library for this purpose • Costs come to approx. $26/FTE under the current deal • OCIO is seeking a working funding model

  8. Adobe Maintenance • Some areas are looking to do large CC purchases • For CS6 copies that were under maintenance, we may have an option for upgrading at no charge until early 2015 • Adobe believes we have all accepted this deal and are using it. We’ve asked them for a process for claiming these licenses

  9. Microsoft Campus Agreement • Student Advantage: • Office 365 for students is an option now • 5 devices, no perpetual copy, subscription after they graduate • Microsoft has made an offer to move to this from our current deal. Cost would be about $65k less per year to do this, but it requires some technical changes on our side • OSU is on track to renew our Campus Agreement in June 2014

  10. Microsoft SQL Server • Microsoft has made an offer of approximately $400k to license the entire University starting July 1, to co-term with our Campus Agreement • Cost is approximately $6/FTE (faculty, staff, and students) • The University has reached a tipping point where licensing it for everyone will be cheaper than licensing it based on individual departmental need going forward.

  11. Microsoft Support Calendar • April 8, 2014 • Windows XP • Office 2003 • Exchange 2003 • July 14, 2014 • Windows Server 2003 • July 8, 2014 – Extended Support Transition • SQL Server 2008 and SQL 2008 R2 will no longer have Mainstream Support

  12. End of Support and Extended Support: Definitions • End of Support: • Microsoft will no longer provide security or online updates to products where support has ended • See http://www.microsoft.com/en-gb/windows/endofsupport.aspx?CR_CC=200365405&CR_ID=&1412346 for guidance related to ending support for Office & XP • Extended Support: • The key difference between Mainstream Support and Extended Support is that non-security hotfixes and “free” or “in–the-box” support options are no longer available during Extended Support. Customers will need to open paid support cases (such as Premier, Pro or Pay-Per-Incident cases) to obtain support.

  13. OCIO IT Expo • Date: March 27th from 9 to 4 • Location: Union at the Great Hall Meeting Room. • There will be presenters, and the list of what who they are is on the website and more info what they will show and what times. More info can be found at u.osu.edu/VendorITExpo

  14. Questions/Comments • Next meeting Mar 31, 2014, 10 AM • Location to be announced
