  3. PURPOSE & SCOPE • Set forth the terms and conditions, scope of work and responsibilities of the parties. • Develop specifics and objectives related to project.

  4. BACKGROUND • This section provides context as to why the parties got together in the first place. • What is the value add of each party? • What expertise or experience do they have that benefits the team as a whole?

  5. PARTY 1 RESPONSIBILITIES • An MOA imposes certain legal obligations. This section makes that perfectly clear. It is here that you want to state what each party’s responsibilities will be in the partnership or cooperation. • Example: Clarify the prelim and resulting processes.

  6. PARTY 2 RESPONSIBILITIES • Shall undertake the following activities under this MOA. • This section provides context as to why the parties got together in the first place. • Example – who will be accountable for the marking and management of N1 scripts and mark sheets?

  7. TERMS AND CONDITIONS • It is mutually understood and agreed by and between the parties that: • This MOA may be amended from time to time by mutual agreement of the parties in a written modification signed by both parties.

  8. COSTS • The parties shall each be solely responsible for any and all costs associated with their responsibilities under this MOA.

  9. EFFECTIVE DATE AND SIGNATURE • This Memorandum of Agreement shall be effective upon the date of the last party to sign this MOA. • The parties indicate agreement with this Memorandum of Agreement by their signatures below.

COMMON ID REGISTRATION ERRORS • Invalid ID vs Date of Birth • Must be 13 numeric characters • RSA candidates – ID compulsory • Foreign candidates with alpha characters in their ID – make use of the number generated by your IT system, and populate any open spaces with Zero’s. • Namibian candidates have 11 numeric characters – populate a 00 at the end of the ID

  18. COMMON REGISTRATION ERRORS • First Name (ID) • Second Name (ID) • Switch 1st and 2nd name around • Only initials are used – not allowed, must be full names • IT System allows three names • Fourth name may be added after the third name with a space as a delimiter

  19. COMMON REGISTRATION ERRORS • Incorrect Gender • Enrolled candidates on more than one programme • Special Characters ( è, ë, etc.) – make use of the “normal” character (e) • Invalid Subject (incorrect subject number / incorrect subject associated with programme)

MARK VERIFICATION PROCESS • Implement a double capturing process. • Each candidate’s mark must be captured and verified by two different officials. • Verify the txt file against the mark sheets. • Mark sheets need to be completed – no open spaces. • 0 (zero) mark is NOT allowed for ISAT / ICASS / Term marks • Either 999 / MARK% - (Written may have a 0 mark) • Submit the txt file to the relevant DHET data capturer to upload
