  4. The Application: Appendix P1

  5. Appendix P1 –Deadlines Faculty are solely responsible for delivering application by deadline to District Office of Human Resources. Late applicationswill not be reviewed by PDL Committee (17.9). • by OCTOBER 10 (or 5 days prior to submitting application)  consult with Dean; get signature/comment (17.11). If Dean believes plan will not benefit the District/students, faculty may proceed with, amend, or withdraw application. • by OCTOBER 17, 4:30 p.m. (October 15 is a Saturday)  submit Appendix P1 plus 2 copies to District Office of Human Resources get “Tear Sheet” (p.2) signed, dated by the District Office of Human Resources  submit 1 copy to President

Appendix P1–Approval 17.13 The PDL Committee … shall approve* an application only if satisfied that the faculty employee is eligible for the leave and that he or she shall, during the leave, engage in study, research, or travel that will: 17.13.1 Substantially benefit the District and its students; and 17.13.2 Enhance the faculty employee’s job performance and professional growth; and 17.13.3 Relate significantly to the faculty employee’s profession, assignment,or planned assignments. * PDL Committee recommends approval to the Board

Appendix P1–Key Components OBJECTIVES: 17.10.1 Set forth objectives for the study, research or travel so as to demonstrate that the leave will enhance the job performance and professional growth of the faculty employee; ACTIVITIES: 17.10.2 Include a plan of appropriate substance and duration which is proportionate to the length of the leave requested for meeting the stated objectives and an anticipated calendar or timetable for carrying out the various activities. VERIFICATION: 17.10.3 Include the means by which a faculty member will report on or verify the objectives were achieved.

  8. Appendix P1–Section I Objectives OBJECTIVE = general goal/purpose of leave; when achieved, results in enhanced job performance and professional growth. OBJECTIVE = broad more than 1 activity could be selected to achieve it if activity becomes unavailable, alternate can be substituted. OBJECTIVE can’tbe revised or replaced.

Sample Objectives • CREATE/DEVELOP new product/document [e.g., music, art, website, manual, textbook, report, course, program]  EXPAND KNOWLEDGE: develop expertise, improve effectiveness, learn to integrate/use new technology/strategy • OUTREACH/NETWORK • PREPARE TO TEACH/PROVIDE SERVICE in new area(s) • DO RESEARCH/SELF-STUDY in area(s) • REVISE/UPDATE existing material

  10. Appendix P1–Section II Activities ACTIVITY = specific action completed during a PDL quarter to achieve objective(s). ACTIVITYcanbe changed  submit and get prior approval of Appendix P2: Request for Change in PDL Plan. For ACTIVITY likely to change/become unavailable (class, conference), best to propose multiple options: • take 3 semester units at SFSU in English Literature (see attached list) • attend two 8-hour conferences on Student Success (see attached list)

Sample Activities attend workshop/conference • include description of event, number of days, number of hours per day conduct interview/survey • describe activity, submit sample questions create or revise material • describe new material or outline of revisions do literature review • include number of sources, method of review (summary, application, etc.) take course/earn a certificate • include number and type of units (quarter/semester/CEU), name of institution undertake self-study • describe process, end product; include hours per week/quarter volunteer/intern • include description of work, hours per week/quarter; verify unpaid status

Tips on Describing Activities Avoid “indeterminate” verbs, vague numbers: • I’d like totake classes in Culinary Arts • I hope to visit a few colleges • I plan to begin to develop a course in Culinary Arts • I will look at conferences offered by UCSC Extension, UC Berkeley Extension • I will review some courses at UC Santa Cruz, UCLA, and CAL Tech Avoid vague dates: • I will take two classes one quarter of my leave. Avoid a range: • I will visit 5-10 colleges. I will read and annotate between 10 and 20 texts. Avoid single option: • I will enroll in the Philosophy master’s program at UC Berkeley. what if you are not accepted? • I will take Philosophy 25 in Spring 2011. what if class cancels?

Appendix P1–Section III Verification VERIFICATION = product (hard-copy/URL) that demonstrates activity was completed, objective was met VERIFICATION required for each activity VERIFICATION submitted to PDL Committee at the end of completed PDL with Appendix P3 PDL Report Note: a verification can’t occur after Appendix P3 PDL Report is submitted:e.g., giving a presentation or submitting an article for publication at a subsequent date

Sample Verifications conference/workshop: program + summary/notes/intended application of relevant sessions course, enrolled: official sealed transcript course, audited / volunteer work: signed letter verifying attendance/ hours interview/survey: questionnaires, responses, summary/conclusions literature review: citation + summary of relevance/intended application new document/product: hard-copy of item or URL revised document: before/after outline or revised document with changes noted self-study: log of hours, report of findings, hard-copy of item or URL

  17. Appendix P2–Deadline Things happen. To change dates or activity of PDL quarter, prior to quarter, submit Appendix P2: Request for Change in PDL Plan to District Office of Human Resourcesand await approval of PDL Committee. NOTE: Appendix P2 requires Dean signature

Appendix P2–Approval A request for change to PDL quarter date or activity is usually approved by PDL committee if  request (Appendix P2) submitted prior to change  new date–within PDL timeframe (3 years)  new activity–equal duration/substance as original activity  new activity–supports original objective(s)

  23. Appendix P3–Approval If Report matches activities/verifications in original application, PDL committee recommends approval of Report to Board; faculty receive confirmation letter. If unable to reconcile Report with original application, PDL committee will contact faculty for clarification. If unable to establish objectives were met or activities were successfully completed as approved, PDL committee refers Report to College President for review/action.

Helpful Tips Read Article 17–twice In filling out the application  Spend sufficient time pondering PDL objectives that will enhance job performance, provide professional growth.  Check objectives are expressed as broad goals/aims, not specific activities.  Check activities are listed by each quarter of leave (a “calendar” format not a long narrative).  Think of verification from PDL Committee’s point of view: what item they will expect to see to confirm each activity was completed. 3. Meet 3 contractual deadlines:  by Oct 10 confer with Dean;  by Oct 17 4:30 p.m. submit Appendix P1 in triplicate to District Office of Human Resources.  30 days after return from completed PDL, submit Appendix P3 and relevant materials to District Office of Human Resources.

  26. Helpful Tips When turning in application, get “Tear Sheet” (Appendix P1, p. 2) signed, dated by District Human Resources personnel [not Dean]–keep secure place. Do not rely on someone else–helpful colleague/Dean–to turn in application. Get approval from PDL committee before changing PDL date or activity: submit Appendix P2 to District Office of Human Resources. Ignore advice from helpful colleague or Dean to follow different PDL procedure than in Article 17 or to use different form than Appendix P1, P2, P3. When unclear on any PDL procedure, ask FA or District Office of Human Resources for clarification.
