  1. Word Processing Software Upgrade for Baderman Island Resort • University of Phoenix • Learning Team C • Daniel Diaz, Nathan Williamson, Robert York • January 31, 2010

Introduction • Baderman Island resort consists of 3 hotels, a convention center, 4 restaurants, 2 gift shops, a pro shop and a spa. • Current network consists of 26 computers running Windows XP and Word XP, 38 computers running Windows 2000 and Word 2000, and 6 computers running Windows 98 and Word 97. • The goal is to have all locations running the same version of word processing software.

  3. Overview • Provide Boardman Management Group (BMG) with enough information to decide whether to upgrade or replace their current word processing software. • Provide a detailed plan including schedule, costs and resources. • Outline benefits for moving forward with this project

  4. Purpose • To create company wide standards for word processing needs. • To cross train employees between the different departments and locations by having all employees using the same version of word processing software.

  5. Business Requirement • All locations & employees using the same version of their word processing software. • Cross training of employees.

  6. Alternatives • Open Source Software • Older Versions of MS Office • Cost Considerations • Compatibility Issues • Software Supported

  7. Recommendations • Upgrade all 70 computers word processing software to Microsoft Word 2007. • Replace 6 computers currently running Microsoft Windows 98 (unable to support upgrade to Word 2007). • Upgrade 26 computers to the Microsoft Vista Premium Operating System.

Projected Economic Model • Employees working more efficiently. • Less time spent on overtime and consulting fees to complete the same tasks. • More energy efficient with new computers. • Cross training between the various departments and locations (now that they are all using the same version of software).

  10. Risk Assessment • Number 1 goal is project success. Project success consists of meeting all of Baderman’s word processing needs prior to the projects deadline and within budget. • Weekly updates will be given to the project manager by each person working on the project to ensure we stay on track and keep focused. • Any issues that arise will be dealt with immediately upon being discovered.

Testing Plan • Testing phase will last 10 days. • Goal of the testing phase is to ensure the new software meets Baderman’s word processing requirements. • Create a test team and test scenarios. • Employees at various locations will test the new software in a “live” environment. • Use feedback to rate if software meets the requirements. • Document any changes that are made for the future.

Training Plan • Training will be provided immediately following implementation. • Build training documentation to be given to each department. • Setup a training schedule to meet the needs of Baderman’s employees schedule and events. • Question forms will be handed out for employees to fill out as usage of the software continues after the initial training sessions.

  14. Maintenance • Security and compatibility patches are provided for free from Microsoft as they are completed. • IT staff responsible for installing these patches and troubleshooting any issues with the software. • Data redundancy within the network is recommended to reduce the chance of losing important documents.

  15. Conclusion • BMG will be able to make a decision on how to fulfill their current needs for word processing after reviewing our project plan. • Baderman’s Island resort will be able to continue to provide the highest customer service possible. • Baderman’s word processing capabilities will be up to date with current business standards.
