Deployment Plan Overview • Phased in roll out (FY 2010 - FY 2012) • Approximatley100 users to be added annually • Regional implementation schedule determined by: • Facilities • Available bandwidth • Telecom staff support • Implementation schedule depends on: • Equipment configuration coordination • Site preparation

Deployment Plan (con’t) Deployment Team will: • Conduct technical training for IT staff at Detroit and Memphis Computing Center • 38 Pilot connections will be converted from ISDN to VLAN • Coordinate equipment configuration and site preparation • Establish IT Help Desk flow chart and ERC process

Deployment Plan (con’t) Deployment Team will: • Develop User Guide in ASL video (voice over and captioned) and text format • Update: ASL Video is in final edit process • Deliver End-User trainings and follow-up sessions • Monitor VRS providers (interpreters) and conduct quality reviews of services provided • Conduct End-User feedback sessions for quality control and future improvement

Progress Update Procurement delay has changed deployment plan as follows: • Equipment contract has been awarded on July 30th • IT staff technical training moved from July to September • First VRS installation moved from end July to September • Phase 2 will begin in FY2011 contingent on approved FY 2011 funding • Testing an Office Communications Server (OCS) with video solution to see if functionality is equivalent • Cost effective solution • Could provide accelerated deployment

Shared VRS • Shared VRS units would be placed in central locations for ease of access by employees who do not have desks, cubicles or shared workstations because of the nature of their specific jobs • Shared VRS can also provide phone access to employees who do not have regular day to day contact with customers • A lock box with key(s) or other control system would be needed for authorized DHOH employees to secure the needed remote control to operate the VRS unit

  9. W&I Expansion Test Sites • Fresno Campus • Video Remote Interpreting (VRI) service test site • VRI will connect staff interpreters and DHOH employees • Austin • AUR testing outgoing calls to taxpayers • Tax Examiners (3) • Future expansion

  10. Next Steps FY 2010 activities • Install Video Communications Server in Detroit/Memphis • Develop Service-wide communications • Establish help-desk procedures • Provide user job aides FY 2011 • Phase II rollout to begin FY 2012 • Phase III rollout to begin
