Faculty Credentialing and Certification Guidelines

Ensure all instructors, including faculty, staff, and TAs, have the necessary qualifications to teach undergraduate courses to meet institutional accreditation standards. Submission of credentials, documentation, and justification narratives are required through the Instructor Credentials System (ICS) for approval. Relevant qualifications include degrees, coursework, professional experience, certifications, publications, and awards directly related to the course content.

Purpose of Credentialing Ensure instructors have adequate preparation to teach assigned courses Connect instructor’s education, employment, & qualifications to course content Ensure instructors meet or exceed standards for institutional accreditation • • • All instructors must be credentialed: faculty, staff, and TAs

TAs for Undergraduate Courses If primary instructor: Requires master’s in discipline OR satisfactory completion of min. 18 graduate semester hours in the discipline Plus the following preparation: o training prior to instruction (PIE + course specific) o regular in-service training o supervision by credentialed instructor Work w/ TA’s graduate program to certify • • •

Instructors for Undergraduate Courses Requires doctorate or master’s in the discipline OR master’s degree with concentration in the discipline (min. of 18 graduate semester hours) • • “In the discipline” means… o Course Prefix/CIP Codes o Course Content w/ justification for “Alternative Credentials” (e.g., SLS, HUM, IDH, IDS, etc.)

For Faculty/Staff Instructors Work with UGS (Angela Hockin) to Certify via the Instructor Credentials System (ICS) Evidence needed: o Updated CV or Resume w/ current FSU position included (job is often big part of justification) o Official Transcript (should be on file w/ HR for faculty, A&P instructors please request transcript sent to Courtney Barry) o Statement of Qualifications (written by the dean/director) • •

Submitting Credentials • UGS deans/directors will submit information & documentation via Qualtrics survey prior to start of classes for 1stterm teaching course • Information collected in the survey will be submitted to OFDA via ICS • If edits are required, Angela Hockin will email OFDA feedback to the UGS dean/director. • The Qualtrics survey can be accessed at https://fsu.qualtrics.com/jfe/form/SV_bgzCxMlzcC0v7hk.

  8. Basic Information Required • Instructor’s name • Instructor’s EMPLID • Course(s) teaching (e.g., SLS1122) • Description of the course content – Undergraduate Bulletin or Syllabus

  9. Credentials Required • Degree(s) earned including discipline, institution, date conferred • Relevant graduate-level coursework – At least 18 hours, chosen from transcript of degree(s) completed and/or in progress • Professional experience: relevant positions held (organization, title, dates) – UGS has historically required at least 1 year of advising experience in our justifications – Prior teaching experience cannot be used as a qualification for current teaching

Other Potential Credentials • Relevant licensure & certifications (e.g., Nursing) • Relevant certificates (e.g., college teaching certificate) • Scholarly publications, presented papers, grants, or awards directly related to course content • Relevant awards or documented excellence in teaching or advising (e.g., teaching awards) • Other relevant documented competencies or achievements

  11. Justification Narrative Format: [Name] is teaching [course number, title] which is focused on [description/purpose of course]. [Name] is qualified because [explanation]. Make connection between instructor credentials (degrees, professional experience, credentials, etc.) and the course(s) taught. Keep to one paragraph, even if teaching more than one course. In many cases, the same credentials can be used for more than one course with the same course prefix or CIP code. If you mention something in the narrative, be sure it is included in the credentials submitted. For example, if narrative includes “[Name] has published widely on [subject],” be sure to submit some publication titles within the “scholarly publications” section. • • • • •

Required Documentation • Transcripts for relevant degree(s) – submit official transcript via Qualtrics survey – faculty instructors’ official transcripts should be on file with UGS or HR – A&P instructors will need to request an official transcript if not already submitted to UGS or HR • Recent CV or resume – new hires must update to include current position, rather than submitting one used for application • Teaching or advising awards – please submit some documentation, such as email notification of award, certificate, or online news release

  13. Hiring Implications Job advertisement should reflect appropriate faculty credentials for the teaching role Teaching responsibilities must be included in AOR (for faculty) or the PD + FACET (for staff) o If neither applies, explore courtesy appointment w/ Angela Shrum to see if that is appropriate + FACET The official transcript(s) must be provided to HR as part of the hiring process o It is helpful to have the unofficial as early as possible to review credentials • • •

Evaluation Implications Instructors must participate in SPCI evaluations (unless fewer than 10 students enrolled) Instructors must be evaluated by supervising UGS dean or program director (annually for FT employees or per appointment for adjuncts) Instructor evaluations for UGS courses must be sent to HR rep for UGS (even if instructor is not employed by UGS) • • •
