  1. Finance and Services 2008/09 Year End Results

  3. Human Resources • Converted Trust employees to University employees effective January 1, 2009. This included 111 MaPS and 1,987 AUPE employees. Transition work included: • Over 1,000 letters/offers produced. • Negotiation of a new Letter of Understanding for former Trust employees with AUPE. • Completion of the payroll requirements for the conversion.

Human Resources (continued) • Delivered trust training sessions and follow up personalized support sessions. • Hosted 20 benefit enrollment sessions to explain their new benefit plans as employees of the U of C. • Analyzed over 1,600 job profiles. • Initiated a new monthly payroll reconciliation. • Established an improved Academic Staff Relations web presence to better serve deans, faculty, and administrators. • Created a Sessional online hiring tool.

Human Resources (continued) • Automated the interface between the U of C and the Public Service Pension Plan. • Completed the roll out of the MaPS compensation implementation. • Launched an improved new Staff Orientation program. • Developed a new interactive online hiring managers’ toolkit. • Redesigned a staff leadership training series.

Financial Services • Produced the consolidated financial statements and a draft MD&A by May 15, 2009 – significantly earlier than previous years. • New followup and collection procedures for delinquent A/R balances has resulted in an overall reduction in delinquent A/R balances of 53%. • Improved the process for processing tuition remission, greatly reducing the number of client inquiries and complaints.

Financial Services (continued) • Rolled out the Variance/Forecast Model, which enabled the process of projecting year-end position to be streamlined . • Documented and analyzed thirteen Supply Chain Management processes and nine Human Resources and Payroll processes. • Implemented a new “Direct Connect” online purchasing tools for Grand & Toy, Sigma Aldrich and Acklands Grainger. • Significantly improved year-end A/P processes.

Information Technology • Increased AirUC coverage by expanding access points within buildings, outdoors, into campus tunnels and to other University campuses around the world. • Provided the U of C campus with wireless service, as well as Eduroam, a service that allows users at educational institutions wireless network access while traveling abroad. • Retired the U of C mainframe after 35 years of service. The mainframe ran all administrative systems prior to the introduction of PeopleSoft.

Information Technologies (continued) • Introduced the Student Dashboard which allows administrators to determine on a daily basis how many students in each academic program have applied to the University. The Dashboard also provides information on enrollment, trending, and comparisons to previous years. • Introduced “Direct Connect” to enhance the ordering process of products. This allows requestors to purchase products from a dedicated supplier catalog via the website and orders are automatically placed into the U of C procurement systems.

Information Technologies (continued) • Project IMAGinE, a partnership between the U of C and Xerox, provides solutions including: printing, design and communications, copy and scanning, print and fax technology, and document management. This key initiative was presented with the CAUBO 2009 Quality and Productivity Award, Western Region.

Risk Management, Safety & Security • Environmental Health & Safety: • Launched ‘Working Alone’, a safety check-in program • Implemented an online incident and accident reporting system • Launched the online “Chematix” program and completed chemical inventory, providing detailed information in the event of emergency response.

Risk Management, Safety & Security (continued) • Campus Security: • 52 new Automated External Defibrillators were installed in publicly accessible cabinets in buildings and common areas across campus. These machines are equipped with an automated voice that directs the user in clear, easy to understand terms.

Risk Management, Safety & Security (continued) • Risk Management and Insurance: • Completed a draft Enterprise Risk Management Framework • RFP process for broker was completed • Full gap analysis of the insurance program will be completed and presented to the Audit Committee in the Fall 2009. This will include a plan identifying uninsurable gaps with appropriate mitigation strategies
