  1. What Districts Need to Do to Close Out Their Bilingual Data for 2007-08 K20 May 23, 2008 OSPI Migrant/Bilingual Ed. Office

Prior to the end of the year • Continue entering any new and/or continuing in program students to the Bilingual Database that have not yet been entered for the year. • Continue withdrawing any students and enter “days enrolled” for students who do not remain in your district through the end of the year.

  3. After the last day of school • To close out your Bilingual Database for the 2007-08 school year you have two simple tasks: • 1. Enter the days enrolled for every student who was in your district through the last day of school (regardless of when they entered this year) • 2. Exit any graduating seniors

  4. The Good News! • The Bilingual Database staff (housed in Sunnyside) will enter all the transitioned (level 4) ELLs based on this year’s WLPT-II annual test. Districts will NOT have to go in and exit these students themselves from the Bilingual Database. • Districts will still have to exit these ELLs from their own district student information systems (Skyward, etc…)

  5. We have tried to simplify the “days enrolled” process • A “Final Days Enrolled Report for 2007-08” will be available at the Bilingual Database website after June 6th: www.wabilingual.org • Districts will be able to download a list of all students they have enrolled throughout the year and reported to the Bilingual Database, and who have not withdrawn prior to the end of the school year.

Step 1: Download Your District Info • Download your list from the website and open it in Excel. • Save it on your computer! • You will see a list of all the students you have reported for the year and have not withdrawn prior to the last day of school. • Now you must enter the number of days enrolled, based on each student’s first enrollment date of the school year.

  7. Step 2: Calculate/Enter Days Enrolled • There are multiple ways to calculate and enter days enrolled, for example: 1. Find out if someone in your district office has a school calendar that lists how many days of school for each day on the calendar or count this out yourself ( e.g. 9/4/2007 = 180 days, 9/5/2007 = 179 days, etc.) • Sort your file by enrollment date and enter the number of days for each corresponding date (this is the simplest way for district’s with relatively small numbers). • Save your file and upload on the “EDI Upload Link” page, “Final Days_Enrolled 2007-2008”

  8. Step 2: Calculate/Enter Days Enrolled(continued) • For those of you who want a challenge, you can create an Excel file with all the school dates, and then use the “vlookup” function: 1. Create an Excel file with a cell for every school day of the year. (Sample from Yakima) 2. Open the file you downloaded, and follow these steps for “vlookup”

  11. Graduation Data Download and save the file of 12th graders. Enter graduation information and upload under “EDI Links”.

  12. Professional Development Survey You will be sent an e-mail when this survey is “live” and you will be asked to complete it by July 31, 2008.

  13. iGrants! • Thanks for attending the work sessions. • Upcoming work sessions are Vancouver (May 27), Renton (May 28), and Burlington (May 29). • The deadline is June 30, 2008. We will read your applications within 30 days of submission. • Title III will be “substantially approvable” until final allocations are in. You will then have to make adjustments to your budgets and resubmit.
