Obtain training from Trainer’s Corner on MSIX website Sign-In Page • Complete training • Submit training certification • Obtain an “User Application for Access to MSIX” form on MSIX site • Complete application • Submit application to Verifying Authority with appropriate identification • Review entire application for completeness • Verify applicant’s job title and attest to the requested MSIX role • Complete Verifying Authority portion of the application and return application to Applicant • Applicant sends to State/Regional User Administrator who reviews Applicant and Verifying Authority portions for completeness • Create account based on application information • Retain application for official records User Application Process • Additional Resources • MSIX User Access Guide and Application • MSIX User Administrator Guide for Managing User Accounts Training Applicant Verifying Authority MSIX User Administrator

Creating a User Account • Create or Modify User Page • Provide all required contact information • Select user’s role • Enter Account Dates: (optional) • Account Activation Date • Account Expiration Date • Click Next • Confirm New User Account • Users will receive an e-mail with their temporary password

  7. Password Change Process Password changes are initiated in 3 ways: • New Users – Initial Login • Users – “My Account” page NOTE – Users must reset their passwords every 90 days • User Administrators – Update MSIX User page

Password Change Method 1 – First Login • All users must change their password at their first Login • MSIX will prompt users to enter: • The temporary password from their new user account email • A new password that complies with MSIX password rules • Re-enter the new password for verification • Once the password has been changed, users must log into MSIX using the new password

Password Change Method 2 – My Account Page • Users can reset their password at any time on the My Account Page • Select the “Reset Password” option • Click the Save button at the bottom of the page • MSIX will generate a new random temporary password for the user and email it to the user • The next time the user attempts to log into MSIX they will be prompted to: • Enter the temporary password • Choose a new password that complies with the MSIX password rules • Enter the new password a second time for verification • Once the password is changed, the user will need to sign into MSIX using the new password

Password Change Method 3 – User Administrator • The MSIX Help Desk cannot reset user passwords • User Administrators can reset user passwords at any time on the Update User page • Select the “Reset User’s Password” option • Click the Next button at the bottom of the page • Click Save at the bottom of the subsequent Confirmation page • MSIX will generate a new random temporary password for the user and email it to the user • The next time the user attempts to log into MSIX they will be prompted to: • Enter the temporary password • Choose a new password that complies with the MSIX password rules • Enter the new password a second time for verification • Once the password is changed, the user will need to sign into MSIX using the new password

Disabling a User Account MSIX User Accounts can be disabled to prevent access to MSIX • Manual Disabling: • User Administrators change the account status to “Disabled” • Automatic Disabling: • When the Account Expiration date set by a User Administrator is reached • After 90 days of inactivity

Reactivating Accounts User Administrators can reactivate disabled MSIX User Accounts • Manual Disabling: • User Administrator changes the account status to “Disabled” • Manually set the account status to “Enabled” • Automatic Disabling: • When the Account Expiration date set by a User Administrator is reached • Reset the Account Expiration date to a future date • Manually set the account status to “Enabled” • After 90-days of inactivity • Manually set the account status to “Enabled” • Click the “Reset User Password” button if the user no longer remembers their MSIX password, to generate new temporary password email to User

Deactivating Accounts MSIX Accounts can be deactivated when a User has no future need for MSIX access Manual Deactivation: • User Administrators – Update User page • Select option to Deactivate Account • Confirm Deactivation • Permanent Action • Deactivated accounts cannot be reactivated • To gain access again: create new account • When in doubt– disable

User Administrator Reports MSIX User Administrator Reports provide additional search and review ability for User Administrators • Content: All users in a User Administrator’s Region or State • Filtering and sorting capabilities • Table and/or graph format • Exporting capabilities: MS Excel and Adobe PDF
