If you have questions, call the Alyssa Griego at 916-642-1703 or email awards@aiacc.org. Your digital entries must be received by 11:59 PM PST , May 20th 2011. NO LATE ENTRIES WILL BE ACCEPTED. • SUBMITTAL FILE PREPARATION • All submitted projects must have a separate 3 digit entry number. Each entry number will be assigned by The AIA California Council upon registration and fee payment. All submitted files must include the 3 digit entry number in their names, noted throughout as the variable “XXX”. Award submittal templates are available for download at www.aiacc.org. • 1. Each Council Awards Entry must be compressed into a ZIP file and consist of the following items: • (1) PDF file containing your Design Entry slides. This PDF will be viewed by the jury. This file will be named “CA-XXX”, where “XXX” is the variable for entry number (i.e. 227 for entry number 227 or CA-227). This file may not exceed 8MB and may have no more than 15 total slides – no exceptions. This entry will be generated on the • PowerPoint template provided titled, “Council Awards Entry Template”. • (1) PDF file containing your Photo Release & Uncompensated Intern release. This PDF will not be viewed by the jury. This file will be named “CAID_XXX”, where “XXX” is the variable for entry number (i.e. 227 for entry number 227 or CAID_227. This entry will be generated on the PowerPoint template provided titled, “Council Award Photo & Uncompensated Intern Release Template”. • NOTES: • You MUST use the PowerPoint templates available at www.aiacc.org as a guide for the size and order of your final PDF slides submittal. • The completed Council Awards Entry Templateand Photo & Uncompensated Intern Release Templateshould each be saved as separate PDF documents for final submittal. Do not submit the Power Point files, only PDF documents will be accepted. • Compress the (2) PDF files into a ZIP file and name “CA-XXX.zip”, where “XXX” is the variable for entry number (i.e. 227 for entry number 227 or CA-227). • 2. The Council Awards Entry File must include the following which is contained in the PowerPoint template: • Entrant Identification Slide – This is to be slide 1 of the entry. • Descriptive Narrative Slide(s)– This is to be slide 2 of the entry and may carry onto slide 3 if necessary. • Image and Detail Slides– Slides 4-15 are designated for supporting material of your choice. You may include photos, letters of recommendations, and media articles, but the Council Awards Entry File may not exceed 15 total slides and not exceed 8MB. • (continued)

NO LATE ENTRIES WILL BE ACCEPTED. • SUBMITTAL FILE PREPARATION • (continued): • The Photo & Uncompensated Intern Release slides must include the following : • Photographer Release slide – This information will not be seen by the jury. • Uncompensated Intern slide – This information will not be seen by the jury. • POWER POINT TEMPLATE INFORMATION: • To submit the final PDF slides, select the “save as” command in the PowerPoint template and select the option to “save as PDF”. All of the slides for each template will be saved in order as they appear in the Power Point template file. Please open your saved PDF file prior to submitting to AIACC to ensure all of your slides have been included, are legible and in the proper order. See Part 1 on slide 1 of these instructions for file naming conventions. • IMAGE PREPARATION TIPS: • PowerPoint “slides” are the equivalent of 10” wide by 7.5” high and images of a resolution between 150 to 200 pixels per inch (ppi or dpi) are generally of adequate quality for most display devices. Given this, a 200 ppi image at full bleed on the slide will result in an image of 2000 pixels wide x 1500 pixels high. Increasing the image size to 300 ppi will likely double the file size with no discernable improvement in image quality. • Use file types that allow compression to keep the file sizes low, use jpg or png images and avoid using tif files. • Size your images in an image editor such as Photoshop before bringing them into PowerPoint, crop them to the appropriate size so that they do not “hang” off the edge of the viewable area and avoid stretching within PowerPoint to assure quality. It’s always best to start with a high quality image and down-sample to reduce file size. A 100 ppi image up-sampled to 200 ppi will not be as clear as if you started with a 300 ppi image and down-sampled to 200 ppi.

Following are the submittal requirements and forms for entering the Firm Award, Lifetime Achievement Award for Distinguished Service, and Distinguished Practice Award categories. • 2012 Firm Award • This award is the highest honor The AIACC bestows on an architecture firm. The award recognizes firms who have: • Consistently produced distinguished architecture for a period of at least 10 years. • Contributed to the advancement of the profession in at least three of the following areas: design, research, planning, technology, practice, preservation and innovation. • Promoted continuing collaboration amongst individuals. • Produced work that has transcended a (single) specific area of expertise and have made connections between areas. • Developed a culture which educates and mentors the next generation of architects. • Presentation to The AIACC Board of Directors: Firm Award Only • If your Firm is selected by the Awards Review Committee as a finalist, you will be required to make a presentation on behalf of your firm to the AIACC Board of Director’s at the July 29, 2011 meeting. • 2012 Lifetime Achievement Award for Distinguished Service • This award is the most significant honor presented by The AIACC for service to the profession, and is presented to an individual architect or group in recognition of outstanding contributions to the improvement of the built environment, or for contributions to furthering the aims and goals of the profession of architecture or the AIA in California. • 2012 Distinguished Practice Award • This award recognizes significant contributions and accomplishments toward a specific building type or practice area. This award recognizes an individual architect’s work, their responses to the challenges of an individual building type, innovations within the design and construction process, design excellence, and a demonstrated spirit of collaboration. The award is given in recognition of a career of dedicated commitment to the built environment. • Statewide Recognition: The 2012 AIACC Awards Presentation • Firm, Lifetime Achievement and Distinguished Practice Awards will be covered in national and international wire services, and will be featured prominently on the AIACC website. The 2012 Council Award recipients will be recognized in a ceremony at the AIACC Awards and Installation event in November, 2012.

DESCRIPTIVE NARRATIVE GUIDELINES The narrative process for the Firm Award, Lifetime Achievement Award for Distinguished Service and Distinguished Practice Award is designed to be simple and not time consuming. There are no specific requirements that the entrant must follow. Simply provide a biographical narrative of the architect, individual or group and their contributions to the architectural profession, their clients, or the community. While an image may be included, the intent of this slide is the written description. Images, if used, shall not distract from the written message in any way.

The digital portion of the AIACC Design Award Submittal shall be uploaded by 11:59 PM PST , May 20th 2011. • (1) single PDF file containing your Council Award Entry slides (8MB and 15 slide pages maximum) uploaded to the AIACC website named “CA_XXX” and containing: • Entrant Identification • Descriptive Narrative slide(s) • Supporting Materials slides • (1) single PDF file containing your Photo and Uncompensated Intern Release Approvals uploaded to the AIACC website named “CAID_XXX”. • I have reviewed all warnings and notes regarding limitations to project and firm identifications displayed on all electronic submittals. • Thank you for your submittal.
