  1. Ptuj, 16.7.2008 Determiningprojectcosts

  2. Costs (1) • The application form and budget form are determinated by the concrtacting authority - they can not be exchanged withouth conformity of EC • If the costs increase in the time of project implementation the commision wont increase the co-financing share. Therefore must the preparation of the budget be precise and detailed.

  3. Costs (2) • Co-financing: each tender has its one specifics. The preparation of budget has to follov the conditions. • The budget form in the tender mostly does not give us opportunity to prepare the budget detailed enough – make your own table and your own detailed budget • The financial plane has to answer to the time plane

  4. Costs (3) • If the conditions are not fullfilled – the project failes with no completions • The value of the project can be reduced in the time of project implementation – no wories till alll results are all achieved

  5. How to preparethebudget (1)? • Read the instructions very carefully special eligible or non eligible costs. • Time of project implementation • The resources availability • The % of co-financing

  6. How to preparethebudget (2)? • Each activity should be breaked to the details and each of the detail quantified (investment/ noninvestment) • Define all possible cost that will appear in project implementation (dont forget on yourself and your own resources, outsourcing, other costs as telephone and internet, office matherial, promotion, office rent,…) • Cost should be defined in detail in frame (x € per hour – y hours needed to implement activiti z)

  7. How to preparethebudget (3)? • To estimate the value of outsourcing costs or equipment cost, get as many offers as you can, • Dont estimate the cost “on the filling”. It better to consultate with collegues or others who have already done something similar, • Be avare that some activities are obligatory (management of the project and promotion of the project),

  8. How to preparethebudget(4)? • Be avare of Guidelines for public informing and notifying about the co-financing of the project – perscribed activities such as notice-board on the construction area is obligatory dont forget to include this cost in the budget • Each project needs also a lot of bureaucracy work (report preparation, konstant consultation with concracting outhority, implementation of public order, project supervision,…) • Dont forget on not eligible cost, you should include them too,
