  2. For Your Information… • Yes, there will be lot of detail in this presentation. • It is intended to be a detailed walkthrough, that can be open while working on uploads to guide you along. • This will be posted to the DOE website and sent out to Centers to be a resource for everyone.

  3. Why Do We Need CATE? • To collect data from the CTE Centers across the state in one format. • Data is used to evaluate CTE across New Hampshire • Transportation Reimbursement (Attendance and Sending School info) • Discover things that can be Improved and Praised • Federal Accountability Requirements (we have to report it, so we must collect it)

  4. What and When we Collect • THREE Data Submissions at THREE different times of the year • The Beginning (BOY), Middle (MOY) and the END of year(EOY) The Submissions • CATE Course – Course information. Program, semester, class name, start and end dates • CATE BOY/MOY/EOY – Student Program information. This enrolls a student into a program. • CATE Student Course- Student Course information. This enrolls students into Courses within a program. • Upload and Process in this order in the BOY submissions • 1st CATE Course, 2nd CATE BOY/MOY/EOY, 3rd CATE Student Course

  5. The CATE Course Must be Unique (Digital Media I) For Your Center Start and End Dates of Course. (MUST Match with Term ID) Program the class is in # of Classes in that Semester (MUST Match with Term ID) (1=1st Sem) (2=2nd Sem) (30=Year Long) If Teacher has one Can be the same as other classes (Digital Media I) Always ending year

  6. The CATE BOY/MOY/EOY This is what this submission looks like It looks worse than it is! *Students will have One Record for EACH Program they are Enrolled*

The CATE BOY/MOY/EOY (Part 1) Student Info Center Info Program Sending School Info (Needs to be correct) Student entry to program, Not before first day of class Required in EOY OR if student leaves program during year. (in next possible submission) Student Grade *In EOY use 1 or ‘Y’ to mark student a Program Completer* They have completed CTE Program Always ending year 1 – Enrolled 4 – Home Schooled V1- In State tuition V2- Out of state Tuitioned V3- Not Tuitioned (Local HS)

  8. The CATE BOY/MOY/EOY (Part 2) No longer collected. Leave blank to reduce risk of errors! Student attendance Each Semester (Important to be Accurate) Special population Information (Federal Accountability) Technical Skill Assessment Student Transportation 2 – Self Transport 6 – Standard (Bus) 8 – Non Tuitioned Students MUST have only ONE Primary Program

  9. The CATE Student Course Student Info Center Info Always ending year Is student a Concentrator in that program? Must match BOY/MOY/EOY Must match BOY/MOY/EOY Exit date and Code from course Entry Date to Course/ Must be on or after matching Program entry Days in attendance (Should match Program record for attendance) Class/Program info MUST Match CATE Course Submission *Students will have a record for EACH Course in EACH Program they are Enrolled* Concentrator – Perkins 4- Student completes 1st half of CTE Program, and is (or will be) enrolled in 2nd half of CTE Program

  10. Now that we have introduced the submissions its time to meet CATE!

What Exactly Is CATE? • CATE is the name of our system for Career and Technical Education Data Collection and Reporting. • Connected with i4see, the statewide reporting system. • Accessed by logging into your myNHDOE Account. There are TWO sides of CATE Where the data is processed, stored and viewed Where the uploads happen!

  12. CATE – Where the Data is Stored Use to search for students AV-1 and AV-2 Reports School Year Data, and other Information Center Contact/Address Info Program Info at your Center Back to CATE Selection Screen

  13. Examples of Things Stored in CATE

  14. CATE – First Thing to do in New School Year • Go into CATE, Admin Tab, select School Year Data. • Edit your school year dates, number of days, and minutes. • You will not be able to upload any submissions until this is filled in! • If dates or days change throughout the year you will need to update here as well. *Tuition Differential* Your Business Office should know if you have one or not.

  15. Now time for the CATE Workbench!

  16. The CATE Workbench (Main Page) Tabs to Navigate Brings you back to CATE Selection Screen Will be your Center You can copy uploads from your Work queue and save to desktop (Excel format) Work queue shows recent uploads and their Status

  17. Uploading to the CATE Workbench • Save your Submission in CSV format on your computer(Comma-separated Values)A. Keep the Header Row in Your Spreadsheet! • Click the Upload tab on the Workbench • Select the type of submission you are uploading from the drop down • Click Browse, find your upload and select • Check Remove Headers box A. This removes top row of upload • Enter comment to describe upload • Click Pre check Formatting

Pre-Check Formatting- CATE workbench • Pre-Check Formatting makes sure the upload is in the correct format. • Right number of columns, data entered is correct for that field Ex) Dates are in right format 8/29/2019. Programs have 6 digit CIP codes. No special characters anywhere. • Your upload will either pass Pre-Check Formatting and be on your work queue OR it will fail and you will see error messages. (I tried to upload Student Course as a CATE EOY) • If failed, you will need to use the error messages and make edits to your spreadsheet. • Then re upload and try again until it passes Pre-Check Formatting • *TIP* Any error message that reads like “colid15”. Go to that number column (15) and something in there is the problem. Usually a special character.

Batch Verification-CATE workbench • Once passed Pre-Check Formatting your batch will be on the work queue. • There are verification rules that the system puts the submission through. • Your batch will be Batch Verified!  (We will get to it) Or Batch Verified with Errors.  (See below) • If you have errors, select the batch using the left side select, and click View Detail at the top to show errors *TIP*Click on the Blue error message or number to view the Records that have the error

  20. Editing Errors- CATE workbench There are two ways to fix errors. • Option 1: Fix them in your spreadsheet, save and re-upload. This guarantees you have a copy of exactly what uploaded. (Much easier to make many changes in a spreadsheet also) • Option 2: Edit batch function in the work queue. • Select your batch and click Edit Batch • You’ll need to search through and find the record(s) with the error. • (F3 key and use the sasid to search page) • Click Edit next to the record, make your changes and click Save • After the changes have been made Select the batch on your work queue and click Verify • You may need to refresh the page, then it will show if the Batch Verified or not. • If not Repeat until all errors are cleared and you are at Batch Verified.

  21. I am Batch Verified – What Next? • After getting the Batch Verified, FINAL STEP is to Process it in CATE. (This is what puts your data into CATE) • Go into CATE (NOT the workbench) Click Admin tab, then Submission Status • You will see your batches, click Process on the Left side. (This take the data through one more round of validation) • You will either be Processed and you are done for this batch OR there will be errors to resolve • Make edits to the batch again, re-verify and try to process again. • These rules compare the upload to any information already loaded into CATE • These errors are usually mismatches between course and program dates.

  22. Processed • Once your CATE Course, BOY/MOY/EOY and Student Course are all Processed you are done with the round of submissions.(As long as you didn’t forget anyone!) You did it!

Tips & Helpful Things • Get comfortable with Excel and your SIS (They’re your friends) • Use the Data Dictionary to help you • https://my.doe.nh.gov/DataDictionary/Default.aspx • Plan Ahead for Submissions • It always takes longer than you think to get the data right! • Read the error messages out loud • It does actually help! • Have Patience (I know its tough!) • It can be frustrating, overwhelming and very confusing at times. • Take a break and come back to it. • DO NOT be afraid to ask for help! Admin Tab, submission Status Process your submission(s) Processed! (DONE) Go to CATE (not workbench)
