Background • In November 2009 the US Department of Education (ED) began using the EDFacts Metadata and Process System (EMAPS) to host the Annual Performance Reports for the High School Equivalency Program (HEP) and the College Assistance Migrant Program (CAMP). • The Office of Migrant Education discontinued use of EMAPS in Fall 2011 and decided to use the G5 system instead to collect annual performance data. • G5 is an ED system that helps program officers and grantees to perform their grant responsibilities electronically, including annual performance reporting.

APR Reporting Process Improvements • More about G5 Features • Online tutorials are available at www.g5.gov • Online tutorials cover: registration, completing the report, submitting the report, & unsubmitting a report. • Helpdesk is available at 1-888-336-8930 from 8:00am – 6:00pm, Mon. – Fri. • Reset Passwords • APR Due Date is Earlier • Reporting Window is open a month earlier so that grantees have the opportunity to report before the holiday rush. • Reporting Window is from November 1 -15, 2011 (grantees with no-cost extensions will have later due dates).

  5. APR Revisions • No Cover Sheet within the APR, but will be completed in G5 • Those who are in Year 5, report totals for GPRA 1, GPRA2, and No. Served in Section D-Section 3-No.4 • Revised some APR content for added clarification

  6. APR Data Checklist • APR has always had Data Checks • Data Checks were automated in EMAPS • Not using EMAPS, so grantees will check them manually using the OME provided Data Checklist

  7. APR GPRA 1 Documentation • Standardized this year’s collection of GPRA 1 Documentation • A sample of a portion of the form is in the APR instructions (Section A2 and F) • The entire form was sent as an Appendix on 10-17-11 • The form must be completed, signed, and then scanned into a PDF before being uploaded into G5

  8. Are You G5- Ready? • Your APR is completed and data has been checked using the Data Checklist • You have converted your completed APR from Word to a PDF using the Adobe feature. Save it. • The GPRA 1 Documentation form is completed, signed, and scanned into a PDF. Save it. • You have registered for a username and password in G5 in accordance with your Institution’s DUNS number.

Now, all you have to do is… • Log into G5. • Select and Complete the Cover Sheet in G5. • Print the completed Cover Sheet • Get the Cover Sheet signed by your AR • Scan it into a PDF and upload it into G5 as a “Narrative” under the title, “Signed Cover Sheet.” • Upload your Saved copy of your PDF APR as a “Narrative” in G5 under the appropriate title (e.g., HEP/CAMP APR). • Upload your Saved copy of your GPRA 1 Documentation form as a “Narrative” in G5 under the appropriate title (e.g., HEP/CAMP GPRA 1 Documentation). • Submit your report.

What if...? • Registration Concerns: • If you already have a G5 account, but it is not tied to a DUNS no., update your profile with your DUNS no. • If you have a HEP and CAMP project, you still only need to register once. The DUNS no. is tied to the Institution, not just the project. • APR Submission Concerns: • If you submit your report and you’ve made a mistake, your Program Officer will contact you and tell you to unsubmit the report, correct any errors, and resubmit it. • The initial date you submitted the report will be the official logged date for your submission.
