  1. WFISD Tutors’Training 2014-2015 Presented By: The Federal and State Programs Office This presentation provides information about the documentation which all tutors must complete before payment for services can be made from a supplemental fund source

STEP 1: Hiring Process • All WFISD Tutors are hired through the Human Resources (HR) Department of the Wichita Falls Independent School District. • Tutors must complete this process before beginning tutoring duties. • Paraprofessionals should not be hired as tutors. • Please contact the WFISD’s HR Department and/or the campus principal for further information about the process. See HR contact information on slide 7 – Step #5.   3. Step 2: Job Description • Once employed, tutors and the campus principal must sign a tutor job description. • A copy of the job description can be found on the district’s website. See slide 8 – Step 6 for more information. • The job description must be signed and dated prior to the start of duties. • By signing the job description, the principal and tutor provides assurance that the WFISD Tutor Training was completed. • The job description must be sent to the Federal Programs Office by the campus principal as soon as it is signed. • Payment for duties will not be approved without a signed and dated job description on file. • A new job description must be signed each school year.

Step 3: Tutor and Student Log • To maximize tutorial time, the tutor sign-in and student roster have been combined into one document. • A copy of the tutor/student log can be found on the district’s website. See slide 8 – Step 6 for more information. • This log must be submitted to the campus principal once completed. • Students must write their names on the log. Students’ names written by a tutor is not considered appropriate documentation and will not be accepted by the Federal Programs Office. • All other sections of the form can be completed by the tutor. • This log should be completed for each new tutorial session. • The office of Federal Programs reserves the right to hold payment if documentation is lacking. • See example of the tutor/student log on the next slide.

  5. Step 4: WFISD Hourly Time Sheet • A copy of the time sheet can be found on the district’s website. See slide 8 – Step 6 for more information. • This time sheet must be filled in each day that the tutor works. • The times recorded on the time sheet and tutor/student log must match. • The tutor should email the completed time sheet to the campus principal by the deadline determined by both parties. • The time sheet can be electronically signed by the tutor and the campus principal. • The principal should send the time sheet electronically to Laura Richards at larichards@wfisd.net along with the tutor/student log by the 5th day of each month. • The campus principal must include a budget code on the time sheet. • The principal assumes all risk for time sheets and logs which are lost because they were sent to the Federal Programs Office via fax or school mail. The office of Federal Programs reserves the right to hold payment if documentation is lacking.
