  2. 4 STEPS To RE-AFFILIATION • 1) Attend Training • 2) Fill out Aims & Activities/General Risk Assessment • 3) Sign the Affiliation Agreement • 4) Register on the Portal

  3. Aims & Activities FORM • All societies must complete an “Aims & Activities” form as part of re-affiliation. • You must include: • General Aims • Regular Activities • This can be completed by any member of your committee.

  4. GENERAL RISK ASSESSMENT • All societies must complete a General Risk Assessment that covers the normal activities of your society. • This will be covered in more detail in Health & Safety awareness. • For any events that take place outside of your normal activities during the year, you must submit a “Supplementary Risk Assessment”. This form can be found on the Societies portal.

  5. Affiliation AGREEMENT • The Societies Affiliation Agreement explains the relationship of the Students’ Association to your society. • You must sign this agreement to be affiliated to the Students’ Association.

  6. Affiliation AGREEMENT • POINT 1: Affiliation • POINT 2: The Students’ Association is a grant making body that can also give additional advice and support to the society.

  7. Affiliation AGREEMENT • POINT 3: What the Students’ Association agrees to provide to affiliated societies: • Free stall at the FreshersFayre • Access to University room bookings • Access to free Union room bookings • 2 financial audits each academic year • Public liability insurance cover • Asset insurance • Right to apply for funding • Additional benefits & discounts

Affiliation AGREEMENT • POINT 4: Your society agrees to: • Allow any student to become a member • Hold annual elections that are free and fair • Maintain accurate financial records and submit your accounts for audit twice a year • Only spend society money for the benefit of the society as a whole • Send officers to training • Submit and implement your risk assessments • Have at least 25 paid members • Charge at least £3 membership • Follow the standing orders

Affiliation AGREEMENT • POINT 5: Insurance • POINT 6: Changes to the Standing Orders • POINT 7: Optional clauses • Appointing the Societies Committee as the official body to settle your society’s disputes. • Note: You must hold a vote at an EGM/AGM if you want to opt-out of the clauses in point 7 • POINT 8: Termination date • POINT 9: Disaffiliation – Association • POINT 10: Disaffiliation – Society

  10. Affiliation AGREEMENT • POINT 11: Disaffiliation cont. • Capital Assets from Association Grants • POINT 12: Society Dissolves • After reviewing the document, please sign and return the agreement to the General Office. • The President must sign this document on behalf of the society

RE-AFFILIATION DEADLINE • You must complete and print your re-affiliation paperwork by FRIDAY, 11th OCTOBER • These forms should be returned to the GENERAL OFFICE. • Aims & Activities Form • General Risk Assessment • Societies Affiliation Agreement • These are the only forms you need to submit to re-affiliate.

  12. The SOCIETIES PORTAL • Step 1: Access the Societies Portal on societies.yourunion.net • Step 2: Registration. Please register with your PERSONAL SaintMail address, not your society email address!

  13. The SOCIETIES PORTAL • Step 3: Go to your society page. • Step 4: Edit your page. • Step 5: Fill in society formsas needed throughout the year.

  14. RUNNING YOUR SOCIETY • Forms to complete throughout the year: • Grant Applications • EGM Request Form • AGM Request Form • Society Constitution • Supplemental Risk Assessment • Re-affiliation Paperwork: • You can also find electronic copies of the re-affiliation paperwork on the societies portal. • You must submit your re-affiliation paperwork by paper copy in the General Office.

SOCIETIES CLINIC • Every Friday, 4-6PM in the Main Bar (Semester 1). • DoSDA (Kelsey), SSC Societies Officer (Courtney), SSC Member for Societies Elections (Robert), SSC Member for Societies Grants (Emily). • What can you do at Socs Clinic? • Review & submit grant requests • Review constitutions • Seek election advice/request an AGM/EGM • Ask any question you may have • Raise a concern/complaint • Societies Committee Meetings - closed
