  2. Spring Collection Components • Institutional Identification • Fall Enrollment • 12-Month Unduplicated Headcount and Instructional Activity • Graduation Rate • Student Financial Aid Information (IPSFA) • Finance

  3. Spring Collection Schedule • Data collection finally opened on March 19, 2001, after 3 delays • Keyholders notified on a flow basis so system would not be overwhelmed • NCAA moved their deadline to April 19 • Collection closed - May 18, 2001 • Coordinators have 2 weeks to finish review • Much reduced followup schedule, especially for partials

  4. How did we do?

  5. Prior to final week... • Late start was due to software not being ready • System response time -- not a problem • Problems with import • Problems with edits • Problems with locking • Problems with printing

  6. Final week... • System was OVERWHELMED • Requests could not be filled, so they were queued • Users experienced long waits and time outs • Problems with edits • Problems with locking • Problems with printing

  7. The #s – final week... • Average number of users at any one time, between 8am and 5pm EDT: • 750-800 • Average response time for a page to load: • 17-22 seconds • Average processor usage on web server: • 90-95%

  8. The reaction...

  9. Reporting Status Summary As of 5/23/01 (Title IV only): • Not Registered 264 • Registered, inactive 160 • Partial data input 770 • Coordinator review 1106 • Complete 4405

  10. This week... • System was moved to new server • Problems with import • Problems with locking • Problems with printing • Problems with migration • Primarily configuration problems

  11. Migration • Migration to the Collection level of the Peer Analysis System has begun • SFA, Enrollment, Finance are being migrated • No GRS data are being migrated

  12. Close out • Help Desk currently doing pre-migration review of completed cases • All coordinators have until June 1 to finish review, lock cases, and print or download data • Once completed cases are migrated, Help Desk will review the partials

  13. A few notes... • We’re receiving calls from keyholders who want help locking their data. • If the institution is coordinated by a Locking coordinator, we can change status so that coordinator can finish data entry and editing, and lock the data, if desired • Call the Help Desk to have this done

  14. A few notes... • We received numerous calls from folks after the fall collection closed who wanted to print/download data • For spring, institutions can get back into the system in view-only mode to print data until June 1
