  9. Club House Renovation • On time • Save snow weather delays • Under budget • +/- $30K • Virtually no impact to assessments • $250K set aside in R&R Reserve • Already built into assessment • No special assessment

  10. Renovation (cont’d) • Product of major community outreach and input: • Email blasts • Newsletter outreach • Two community forums in ’09 • Special thanks to Nancy Winings and all those listed on the self-guided tour card

Principal Improvements • Main Hall • hardwood floor, new furniture and décor • Side Room • open architecture, closets, new furniture/lighting • Kitchen • Stainless appliances, granite tops, new tile • On-Site Manager’s office • new look and location (adjacent foyer) • Gym • Jones and Cable Cross Machines with new 10x10 space • Outside • new grill, patio furniture, and handicapped pool entry

  12. New 24/7 Policy • Resident use 24/7 when not reserved • Reserved @ 10 times a month • Grill up to 11 p.m. on unreserved days • Check calendar on the new web site • http://www.westmarket.net/calendar.asp • Note surveillance cameras • NOT security cameras

  13. New Policy (cont’d) • Can create West Market Clubs • Garden and Yoga so far • Cards? Biking? Book? Happy Hour? Cooking? Up to you • Advantage: reserve with no rental fee • WM members only with events principally attended by WM residents • Chair responsible for policy compliance

  14. The Big Snow(s) • Generally happy with performance • Key lessons: • Importance of e-mail communication • Park Place corners • ID’d new areas to put large snowfalls • Map of hydrants and culverts • New: Clear street parking before plowing

Budget Impact • Exceeded snow removal budget by $60K • But end year with only +/- $10K deficit • Saved $20K in landscaping costs • Landscaping Committee to prepare 5-year capital plan to better plan that account going forward • Significant savings on bad debt, web operation, electrical costs, and general repairs • Mid-year insurance premium reduction • Handle with ’09 surplus

  16. 2010-11 Budget • 3% assessment decrease: $113 to $110/month. How? • $15K reduction in trash removal contract • Reduced insurance premiums • Web hosting budget reduced • Newsletter via postcard notice • Structural savings passed onto residents • Other operational items remain essentially at or above 2010 costs, so no reduction in service levels

  17. ’10-’11 Reserves • Operating Reserve: no change • $72K, @12% of total expenses • CIR: no assessment revenue used • Projected balance of +/- $35K • Repair and Replacement Reserve • Increased contribution by 3% independent study recommends • Remains above 100% funding level per study • Clubhouse reno already built into $110 assessment

Building “Community” • Moving to more themed events and away from Happy Hours (latter as club?): • Spring/Fall yard sales • Children’s egg hunt • Summer Party • Oktoberfest • Children’s Halloween Party (Oct. 30 5-7pm) • Children’s Holiday Party (Dec. 4 3-5pm) • Adult Holiday Party (Dec. 4 6-9pm) • Super Bowl Party (Feb. 5)

Building “Community” (cont’d) • Clubhouse Grand Reopening event • special thanks to Theresa Goudie and our neighbors who donated: Santini’s, Clyde’s, Uno’s, Mon Ami Gabi, Mama Lucia’s, Uncle Julio’s, and The Wine Cabinet • Partnered with Midtown on wine tasting • Special thanks to Tom Mulkerin, Theresa Goudie, Brian Lester of Midtown, and Market St. Cellars • Look to do more of these partnering events • Second doggie pool party • Special thanks to Janet Poteet

  20. Pond/Drilling • RTCA taking over pond • First must dredge; probably December • May need to cut some vegetation at rip rap • Water main project • WM easement granted for $5K • Expected to last 2+ years • No drilling at night; no using the neighborhood for trucks

Appeal for E-mail Addresses • Management keeps strictly confidential • Neither Board members nor outsiders get access • Important communication tool • Newsletter only quarterly • Use e-mail for: • Snow removal updates; clear street parking • Augment newsletter (e.g., parking stickers, garage sales, reminders on calendared events, street cleaning, etc.) • WATCH and other community notices • Emergencies

State of the (West) Market: • $3 assessment reduction following Clubhouse reno and Big Snows, and kept: • Operations strong • Reserves strong • Invested in our future with the renovation • Already built into the new $110 assessment • Will develop 5-year landscaping plan in 2011 • Continuing sensible covenants and parking enforcement

Three Open Seats • Two-year terms • If more than 3 candidates: • All candidates allowed to make brief remarks • Then we’ll vote for up to 3 people • Any ballot with more than 3 names checked or written will be invalid • SFMC will count; two residents to monitor/help with the count • If 3 or less, move by acclamation • Board will appoint any vacancies
