  7. Standard of Scholarship • Updated Policy submitted for Graduate Faculty Review • Student records are routinely reviewed 3 times per year, at the close of spring, summer, and fall semesters for adherence to the scholarship standard. • Following each review, student out of compliance are notified via email of being placed on warning status. The email indicates that the student is on warning status and has until the close of the following Fall or Spring semester to achieve a 3.00 GPA or petition the Graduate Dean for additional time. • Students not in compliance or failing to file a petition by the stated deadline will be dismissed. Students being dismissed will be notified by US Mail and a paper copy will be provided to the advisor.

Standard of Scholarship • Students are also reviewed for compliance with the scholarship standards any time they request an action by the School of Graduate Studies which may include: • Submitting • A program form • A petition • An application for graduation • A request for a preliminary or final proposal meeting • An employment request for a graduate assistantship • The School of Graduate Studies will notify students if they are out of compliance following any of the above actions.

Program Forms • Required for all degree candidates and certificate students • Must be approved by the advisor and the graduate dean • Must be completed after formal admission but prior to the completion of 15 graduate credits • Forms available at http://www.stcloudstate.edu/graduatestudies/current/stuForms.asp • Graduate studies reviews student records for eligibility for an approved program based on admissions criteria, pre-requisites, departmental exams and GPA. • The graduate dean reviews and has final approval for all program forms. • To alter a program of study and update the degree audit, students may submit a petition form or submit a new POS.

Graduation Clearances • Initiated by student submission of an Application for Graduation during the first four weeks of the semester. • Student records receive a preliminary evaluation and are reviewed for: • Courses remaining for successful completion • GPA • Resident requirement • Age of coursework (within 7 year limit) • Final examination completion • 600 level courses completed • Program requirements • Registered for one graduate credit • Students and advisors are notified of the outcome of the preliminary evaluation. • After final grades are posted for the semester the final evaluation of the student records occurs. • If a student has successfully completed all the requirements of the program and the graduate school, they are processed for graduation and the degree is posted to their official transcript. • Diplomas are mailed to the student’s diploma address eight weeks after the end of the semester.
