Organizing Files and Folders • A file, or document, is a collection of data that has a name and is stored in a computer • Organize files by storing them in folders • Disks contain folders that hold documents, or files • Compact discs (CDs) • USB drives • Hard disks • Digital video discs (DVDs)

Developing Strategies for Organizing Files and Folders • Type of disk you use to store files determines how you organize those files • Storing files on removable media allows you to use simpler organization • The larger the medium, the more levels of folders you should use Documents folder • You should have a backup, or duplicate copy, of important files

  5. Steps on How to Manage Files and Folders…..

  6. A. CREATE A NEW FOLDER…. • 1. Click on the start ( ) button. In that menu click on ‘My Computer’. • 2. Then open a drive and click on the new folder button as illustrated in the figure…..

  7. CREATE A FILE • After creating a folder, Double click on it and Suppose you want to create a spreadsheet file to capture the list of students who had got 10 CGPA in 10th class…. • So for that steps to be followed will be as follows: • 1. Double click on folder 2. Right click anywhere on the white space; click New -> Microsoft Office Excel Worksheet on the shortcut menu. 3. Notice that a new file icon will appear in your folder Write the file name there…………..

  8. 5. Type the name of the file as ‘students performance’. • Alternatively you can create your spreadsheet file using your normal spreadsheet software and save it in this folder. TO FIND A FILE OR FOLDER • Click on start button • In start menu or in search box type the name of file /folder that you want to search. • Click SEE MORE RESULTS link, above the search box. • Then a window will open and in it you can open your desire file/folder……… • The upcoming pic demonstrate the whole activity….

  9. OPENING FILES AND FOLDERS • To open file or a folder Double click on MY COMPUTER( ).. • Then enter your favorable drive in which you had kept your folder or file… • And then to open it double clock on them…….. • For ex. You can get an idea from the following pics…………

  10. RENAME FILES AND FOLDERS • 1. If we want to rename our files and folders then at first reach your destination folder • Then on toolbar, click ORGANIZE…. • In that list choose rename and then type a new name & press ENTER.. • If you find this job harder then simply right click on the file/folder and choose the option RENAME and change it easily……

  11. COPY FILES AND FOLDER • Suppose you want to copy the file ‘Flyer’ from the folder called ‘Pictures’ to the newly created folder called ‘Flyers and Posters’. • 1. Click on start( ) button and then click on ‘Pictures

  12. 2. Click on the file named ‘Flyer’ and then click on the ‘Edit’ menu of the window. • 3. Click copy to folder 4. From the copy items box select Documents->Advertisement and Publicity->Flyers Posters. 5. Click copy button

  13. There’s much-much easy way to copy your files/folders Just click on the file and then click on ORGANIZE (in toolbars) and select copy Then go to the folder where you want to paste your file and by going on ORGANIZE again u can complete your task…..

  14. TO COPY A FILE TO A REMOVABLE DISK • Students always want to complete their work on home instead on school  so they need to copying data from school PC’s to pen drives ….. So the procedure for it is…. 1) In your drive find your needed files/folder.. 2) Right click on it and choose the option COPY/CUT. 3) Then return back to my computer and enter your removable disk… 4) right click their and choose PASTE ,and so your file/folder will be copied in your removable disk. • For saving your time you can simply right click on your file/folder and choose SEND TO and further choose Removable Disk……

  15. DELETE FILES AND FOLDERS • 1. Click on start button, in the menu click My Computers • 2. reach to your needed destination where the file is been saved. • 3. After reaching there Delete the file from this folder which you want to by the following way shown in the fig.

  16. Restore Files and Folders • The Re-cycle bin holds all the deleted items. If you delete an item accidentally, you can restore it to its original location by using the options available in the Recycle Bin. • 1. To restore the file named ‘Flyer’. • 2. Double-click the Recycle Bin icon on the desktop. • 3. The Recycle Bin window appears. • 4. Select the file ‘Flyer’. • 5. On the toolbar click ‘Restore this item’. Alternatively, you can right click on the file you want to restore and select ‘Restore’. • The items are restored to their original location
