  1. Event Registration Ignite Leadership Series

Space Reservations • HSB & SUB – event request will trigger space approval • Outdoor SUB spaces – use facilities for tables/chairs • On-Campus – building contact information will be in event approval • Off-Campus – make sure venue is appropriate (include address in event request) • Make sure to request appropriate set-up and technology needs as necessary • Be a good steward – clean up, cancel events, allow 2-3 business days for reservations

Dates & Times • Spring 2013 Blackout Dates • January 14th – first day of classes (first day for events) • January 21st – MLK Holiday • March 9-17th – Spring Break • March 23rd – Bearathon • March 29th-April 1st – Easter Holiday • April 13th – Steppin’ Out • April 18th – Dia de Loso • May 4th – May 14th – Dead Week Exams (May 3 – last day for events) • Save the Dates for Fall 2013: Welcome Week, Parent’s Weekend, Homecoming, Steppin’ Out, Home football games • Sunday-Thursday past midnight for on-campus events and off-campus events. • After 1 a.m. on Friday and Saturday nights. • On Sundays before 1 p.m.

  4. Who is invited? • Members Only • Members and Guests (invited – formals, take a dates, crushes) • BU Community (anyone affiliated with Baylor) • Waco Community • Other (anyone outside BU/Waco – sport club games) • Make sure to select the appropriate audience! Appropriate forms can be dependent on this.

  5. Organization Travel • Register as an event • Make sure to include accurate dates/times • Include traveling advisor, transportation, accommodations, & # traveling in request • Fill out and return appropriate travel forms • Things to consider • No cohabitation • Curfews (to be set by students and advisors) • Appropriate driver forms

  6. New Member Education • New Member Education Proposals – due to Student Activities at least 4 weeks prior to NME beginning • All programs are limited to 5 weeks. • New member activities need to be registered as events – must take place between 8am-10pm • New member activities cannot take place in any on-campus dining facility nor conflict with class times

  7. Forms • Travel • Special Events • Solicitation • Speaker • Exemption • These will be attached in your event approval. • Turn in 2 weeks prior to leave time for appropriate processing.

  8. Registration Tips • Double check blackout dates and time regulations prior to registering events • If you don’t receive an e-mail, check your junk folder • Make sure to register events as soon as possible – allow two weeks for those requiring forms • Any changes you make will re-trigger advisor approval • Be a good steward – cancel events & space as needed • Event approval does NOT equal space approval
