  1. Greg Harris President & CEO

  2. We Can Work It Out Establishing the World’s First Rock and Roll Library

  3. Jennie Thomas Head Archivist

  4. Goals • Move collections • Create policies, procedures, workflows • Finding aids for first 1,000 l.f. of priority collections • Determine best ACMS

  5. Challenge 1 : The Move • 2,500 l.f. • 4 different locations

  6. Challenge 2 : Provenance • No or partial records • Incomplete agreements • Reboxing

  7. Challenge 3 : Definitions LIBRARY • Commercial publications ARCHIVES • Everything else! MUSEUM • 3-D

  8. Challenge 4: Data • Archival content management system • The Museum System • Archivists’ Toolkit

  9. Challenge 5: Standards

  10. Outcomes • 1601 l.f. processed • 362 collections • 45% unprocessed • 108 researchers • 375 reference requests

  11. The Future • Collecting policy • Revised standards • ArchivesSpace • Records management • Digitization • Linkage of finding aids to digital objects

  12. Adam Wead Systems and Digital Collections Librarian

  13. Ex nihilo • No ILS • No archival processing software • No preservation storage • No digital initiative

  14. Vendor Decisions • Bundled solutions are expensive • Innovative & ExLibris • Vendor products didn't fit our needs for video • Uncompressed video, PBCore metadata • Partnered with Case to become an affiliate • Chose Archivist's Toolkit for our processing software

  15. Digital Decisions • Video was the priority: induction ceremonies • Required lots of storage and specialized processing • Opted for the Fedora repository architecture • Flexibility with storage systems and metadata standards • Chose a vendor to digitize our tapes

  16. Hydra • Fedora is only a backend • Needed a web-based interface to manage, catalog and ingest content • Hydra gives you the ability to manage Fedora within a web framework: • Ruby on Rails + Solr + Blacklight

  17. Storage • Initial estimates were for 250 TB of data with expansion over time • Required two off-site copies, geographically separated • Cloud storage was too expensive at the time--probably still is • HSM solution: combines hard disk and tapes • Multiple tapes are stored offsite: Museum downtown, and Iron Mountain in PA

  18. Discovery • Three data types: MARC, EAD, PBCore • Funneled into one datastore: Solr • Interface to sSolr for library data: Blacklight • EAD are separated into multiple item-level records for better searching • All content in Hydra is item-level

  19. What’s Next? • Image digitization workflow and processing: 4 TB 90,000 image backlog • An institutional repository for the Rock Hall • Extending Hydra's capabilities with other institutions’ solutions

  20. Amanda Raab Catalog and Metadata Librarian

  21. Goals • Relocate, assess, and prioritize collections • Create policies, procedures, workflows • Develop adequate tools for internal and external use

  22. Challenges • Starting backlog of 50K items • Coordinating description standards across library and archives • Establishing description policies that allow findability across 5 catalogs, using 3 schemas

  23. From one catalog to another…

  24. Future • Reassessing collection policies and cataloging priorities • Updating the discovery interface to incorporate • RDA elements • Digital video, images, and audio • Crowdsourcing widgets • Aesthetic changes

  25. Laura Moody Public Services Librarian

  26. Public Services • Information Desk • Policies and procedures • Scheduling of librarians for Info Desk • A/V set up and instruction • Virtual reference

  27. Collection Development • Opening Day collection • Database subscriptions • Magazine subscriptions • Theses/dissertations • Audio/video

  28. Instruction • Case Western Reserve University • Cleveland public school district • Cuyahoga Community College (Tri-C) • Museum staff • LibGuides • Virtual

  29. Outreach • Social networking via Facebook, Twitter • Blog posts via Museum • Word of mouth • E-News to Museum members • Tabling at local events • Education Department programs • Volunteers and interns

  30. Where Are We Now? • Books: 6,623 • Audio: 4,031 • Video: 869 • Periodicals: 505 • Theses/Dissertations: 476 • Scores: 368 • Reference Questions: 1,450 • New patron registrations: 1,323

  31. Looking Forward • More outreach • Ask-A-Librarian chat reference model • In-house instruction • Circulating collection? • Library book sale? • Enhanced web page and catalog • Metrics
