  2. Introduction • This morning will cover:- • What we have done in our Cloud & Google project • Benefits we have actually found • Challenges we faced • Lessons learnt

  3. Warwickshire Project • Looking to replace e-mail system, why implement 301st copy of Exchange in public sector (TC Unofficial figure) • Looked to share system as a minimum • Volunteered to lead G-Cloud project pilot for e-mail

  4. Why G-Cloud e-mail Project • Stated we would, and have worked via G-Cloud as it can deliver:- • Joint and easier procurement – savings. New innovative model for both suppliers and customers • Shared security accreditation approach – savings and safer • Joint Service Management – savings

G-Cloud e-mail – Phase 1 conclusions • All suppliers could offer valuable service • Unsurprising but clear, Private Cloud significantly more expensive for email • Double cost of Public Cloud, and for WCC more expensive than in-house • Summer 2011, no Private Cloud existed • Still role to play for more risk averse applications & organisations

  6. WCC Phase 2 • Decided to assess public cloud offerings, accepted risks at this stage • Assess Mail + • Immediate benefit all available in 24 hours • Again confirmed all could deliver IL2 mail • In WCC case a clear price differential

Phase 2 results • For all, major benefits over the status quo • For WCC Google significantly lower cost and simpler model – ‘Disrupted Market’ • Confident can save over £250,000 pa from implementing mail and docs • Moved to pilot to prove approach for IL2 mail ahead of wider 4500 user roll-out • G-Cloud wants a market, so WCC still assisted Microsoft, IBM and others

WCC Benefits of New Approach • Most important, business impact, aid modern working and service delivery • Improved access for flexible working including critical partnership locations • Increased range of access devices, consumerisation • Improved collaboration options, incl. IM & video conf. • Improved joint working & sharing information, internal and more importantly external • Not theoretical, benefits seen over last 12 months

WCC Benefits of New Approach • Other general Cloud benefits • Reduced deployment time and costs • Reduced management costs & upgrades • Pay on usage, revenue & reduces as we shrink • Reduced cost of service, including SME partner, savings detailed in business case, key area • Savings over previous licences £100k • Infrastructure elements no longer required £100k • Staff savings associated with support £60k

WCC Cloud Project Challenges • Information Assurance, Information Assurance, Information Assurance – just same questions • Using for IL2 information – 95+% of users, 99% of information • Use GCSX for secure exchange with partners • Working with CESG & G-Cloud team to get services Government accreditation at IL2 • Also worked with ICO – some good guidance • Also Integration / exit strategy, tested in pilot

Mitigation/Risk Assessment • Not storing High-Risk Information • FoI & Transparency agenda, most data open • Even if lost what value to other organisation • ICO fines – hacking vs paper loss & mis-sent • If security too complicated users bypass it • Cloud approach can deliver improved security awareness and electronic transfer • Customers increasingly use it – expect us too

  13. Project Progress? • Business Case signed off in March 2012, and we were ready to roll-out.. • Never had an IT project so ready.... • We were held up - Google not on G-Cloud ii ….. Aarrgh! • As a result not yet accredited.. Aarrrgh! • Had to do own contract & Security assessment, proof of benefit of G-Cloud • Done! roll-out underway, in use!

Lessons • Cloud always answer – No! • Cloud computing benefits absolutely exist, business and financial • Can easily pilot for a few users first – try it • Issues not about technology – easy bit • Cloud adoption about service and contracts • Must understand your risk appetite, security • G-Cloud can massively facilitate adoption • Use 500 existing suppliers and 3000 services – we will
